Job Purpose
The Administrative Assistant is a vital support resource within the organization, contributing to the efficiency and effectiveness of departmental or branch operations. This role encompasses a variety of administrative functions, including managing communication, organizing schedules, maintaining records, and coordinating projects. The Administrative Assistant ensures seamless office operations by prioritizing tasks and providing responsive support to team members and management across one or more departments. Additionally, the Administrative Assistant fosters positive relationships with stakeholders and serves as a backup for front desk reception and other administrative functions, maintaining continuity of operations.
What You'll Do
Reception and Backup Support:Serve as the primary backup for front desk reception duties, including greeting visitors, answering phone calls, and managing inquiries.Provide support for other administrative and coordinator positions as needed, ensuring continuity of operations during absences or peak workload periods.
General Administrative Support:Provide comprehensive administrative support to team members and management, ensuring smooth daily operations.Manage and prioritize incoming correspondence, including emails, phone calls, and mail, directing inquiries to the appropriate parties.Assist in preparing reports, presentations, and documentation as needed for various departmental functions.
Scheduling and Coordination:Coordinate and schedule meetings, training sessions, and events ensuring all logistical details are handled efficiently.Prepare meeting agendas, take minutes during meetings, and distribute follow-up notes to ensure clear communication and action items.
Data Management and Record Keeping:Maintain accurate and organized files and records, both physical and digital, ensuring information is easily accessible.Assist in data entry and update databases with relevant information, maintaining data integrity and confidentiality.
Customer and Stakeholder Interaction:Serve as the first point of contact for internal and external stakeholders, demonstrating professionalism and effective communication skills.Assist with inquiries, provide information about departmental processes, and support customer service initiatives.
Office Organization and Maintenance:Help maintain a clean and organized office environment, including managing supplies and equipment to ensure they are stocked and functioning properly.Implement and improve administrative processes and procedures to enhance efficiency and effectiveness.
Project Support:Support various departmental projects and initiatives by assisting with research, data analysis, and the coordination of project timelines.Collaborate with team members to ensure projects are completed on time and meet organizational standards.
What You'll BringHigh school diploma or equivalent1+ years of experience in a customer service environment and office reception or administrative role.Demonstrated ability to engage professionally with clients, visitors, and team members.Strong verbal communication skills for phone and in-person interactionsAbility to handle multiple tasks efficiently.Basic proficiency with office software (e.g., Microsoft Office Suite, email, and phone systems) to manage communications, document preparation, and scheduling.
