Summary

We are currently seeking a receptionist/administrative assistant to join our team at Bernardo Wills. Our team is dedicated to creating spaces that inspire and enhance the lives of those who use them. The ideal candidate for this position should be friendly, genuine individuals comfortable being the first point of contact for our clients, visitors, and employees. This role is crucial in creating a welcoming and professional environment. You would handle a variety of administrative tasks to support our team and ensure the smooth operation of our office.

Primary Responsibilities

o Serve as office receptionist, arriving on time to open and close the office for daily operations.

o Manage reception area to ensure effective telephone and mail communications, supports and maintains firm's professional image.

o Manage the reception and common area(s), ensuring they are tidy and presentable.

o Schedule and coordinate meetings and appointments.

o Prepare conference rooms for meetings, welcome, and receive visitors with pleasant and professional demeanor.

o Ensure the reception desk is staffed during the working day. Coordinate coverage for backup, as needed.

o Purchasing of paper and stationery, small equipment, janitorial and office supplies. Responsible for monitoring inventory, ordering, unpacking, and verifying deliveries, and stocking/storage of items.

o Open, date-stamp, and deliver incoming mail.

o Prepare outgoing mail and packages, arranging for pickup or drop off.

o Respond to regularly occurring requests for information. Exercise independent judgement in the screening of calls and visitors.

o Maintain electronic office calendar, conference room assignments, and conference room displays.

o Track in/out status of employees.

o Provide backup for Bissinger Room duties/scheduling.

o Plan, coordinate, and support continuing education credit presentations.

o Coordinate routing of office birthday cards and staff celebrations.

o Assist with day-to-day facilities operations and coordinating maintenance requests.

o Maintain inventory and stock kitchen and breakroom supplies, snacks, and beverages.

o Develop and document procedures and processes.

o Oversee document destruction and archive maintenance.

o Represent Bernardo Wills with a high level of professionalism.

o Identify opportunities in procedures and office practices and recommend changes and integrity.

Requirements

Qualifications

o High school diploma or equivalent; additional administration focused certifications are a plus.

o Proficiency in Microsoft Office Suite (Word, Excel, Outlook), virtual meeting platforms, and general comfort with technology.

o A warm, positive attitude.

o Excellent verbal and written communication skills.

o Strong organizational and multitasking abilities.

o Professional appearance and demeanor.

o Ability to work a full-time, 8 am - 5 pm, in-office position at our office in Spokane, Washington.

o Must be able to reliably commute to our in-person design office or are planning to relocate prior to starting work to Spokane, WA 99201.

o Reception or administration experience preferred.

Physical Requirements

o Prolonged sitting at desk or computer terminal

o Occasional bending and reaching, including twisting and lifting of up to 50 lbs.
