The Roland Center is a non-profit organization serving individuals with intellectual disabilities, supporting them in a safe and productive environment where they can reach their highest potential with hope, dignity, and respect and attain their goals and objectives, such as employment, community integration, and recreational activities of their choice. The Administrative Coordinator reports directly to the Adult Day Program Co-Directors. The Administrative Coordinator directly supports the program team and serves as the point of contact for program eligibility and the intake process. The primary function of these programs is to assist our participants and their families with the best experience while here at The Roland Center Adult Day Program

We are currently looking to fill one position for the Adult Day Program Reception Desk. The position is Monday- Friday.

As an Administrative Coordinator, you will be our company's first point of contact. First impressions are essential to us. We strive to offer our participants and their families the best customer experience. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls, emails, mail, and packages. You will be assisting with scheduling conference room hours. To be successful as an Administrative Coordinator, you should have a pleasant personality and be a team player. If needed, this role may require working into the 2nd shift, so flexibility is a plus. Ultimately, an Administrative Coordinator's duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.

Responsibilities Include:Download applications daily from IndeedSupport new applicants completing their application on-siteCoordinate and welcome interdisciplinary teamsFacilitate and coordinate Special Events for the ACCSES national 2025 conference at The Roland CenterGreet and welcome guests as soon as they arrive in a friendly and positive manner.Direct our participants or their family members to the appropriate location.Schedules meetings, answers phones, and maintains digital and physical records.Ensure the reception area meets the highest presentation standards and is efficient with all necessary stationery, materials, pens, forms, and brochures.Provide basic and accurate information in person, via phone, mail, and email.Receive, sort, and distribute daily mail packages to our tenant's mailboxes or offices.Will assist in coordinating special events (Parent meetings, board meetings, and offer support to the event coordinator during bowling and other activities, etc.)Maintain office security by following safety procedures.Email the appropriate staff for stationery supplies or any other stock inventory.Schedule & update conference room calendars and assist participants with daily conference room reservations, Monday - Friday, 8 am-5 pm.Assist the case management department with the coordination of interdisciplinary meetings.Performs other clerical receptionist duties such as assisting participants and clients with copies, faxes, scans, etc.The Administrative Coordinator resolves administrative problems by analyzing information and identifying and communicating solutions.Maintains continuity of work operations by documenting and communicating needed actions to management, discovering irregularities, and determining continuing needs.Accomplishes department and organization mission by completing related tasks and projects as neededAssist with transportation logistics and scheduling.Skills:

* Proven work experience as a Front Desk Receptionist.

* Proficiency in Microsoft Office, Google, etc.

* Hands-on experience with office equipment (fax machines & printers)

* Professional attitude and appearance are a must.

* Proficient written and verbal communication skills.

* Ability to be resourceful and proactive when issues arise and seek help from the management team.

OTHER REQUIREMENTS

A bachelor's degree in the social services field or a related field is preferred. Minimum of two years full-time experience working with the ID and Dementia Population.One year of experience in social services or a related field is required.Excellent verbal and management skills.Detail-oriented with excellent time management, organizational, written, verbal, interpersonal, and computer skills.Able to learn quickly and work effectively with a wide range of constituencies and with minimal supervision.Computer literate; able to effectively use Microsoft Word, outlook, excel, and the internet.Current, valid California Driver's License with an acceptable driving record.Minimum 30 WPM typing speed.

Experience:

* Office Administration: 2 years (Preferred)

* Customer Service/ Hospitality 2+

*Bachelor's (Preferred)
