Assistant Facilities Manager
to ensure our facilities operate seamlessly, supporting our mission of saving and improving lives.
Reporting directly to the Regional Facility Manager, you’ll play a key role in delivering top-notch facility services, ensuring any issues are resolved swiftly and efficiently with the highest level of customer care. You’ll coordinate with vendors, maintenance teams, and operations to oversee the effective delivery of contracted services and ensure smooth facility operations.

DUTIES AND RESPONSIBILITIES:
Coordinate facility management through Cherwell work order system, receiving and dispatching work order requests to internal facility technicians, approved vendors, or other means of work completion.Ensure appropriate follow-up with internal customers on acknowledgement of work order receipt, expected timeline of work completion, and progress throughout. Verifying that work has been completed as expected, invoiced correctly and applying proper coding.Provide required reporting, data, budgetary requests and analysis of spend within preventative and reactive maintenance. Working closely with Regional Facility Manager for direction and providing updates to FP&A team.Assist with the coordination and scheduling of preventative maintenance activities, including follow up that regular scheduled work is being performed, invoiced correctly with proper coding.Provide direction/information to vendors, facilities staff, and service providers as required ensuring excellent coordination of work with minimal disruption.Coordinate small project tasks as directed.Resolve problems associated with all building services including but not limited to: janitorial, conference rooms, interior and fixtures and equipment, climate comfort, and mechanical & electrical needs.Requires participating in after-hours call rotation for dispatching and following up on after-hours emergencies.
Requirements
Knowledge/Education
Associate Degree preferred or equivalent work experience required.
Licenses/Certifications
Valid in-state driver’s license required.
Experience
Two years with Facility related experience required.
Skills/Abilities
Must possess the skills and abilities to successfully perform all assigned duties and responsibilities.
Must be able to maintain confidentiality.
Effective oral and written communication skills.
Must have proficient computer skills.
Must be able to read and comprehend written procedures and instructions.
Must be able to work flexible shifts.
Must have good customer service and interpersonal skills.
Ability to work in a team environment and participate as an active team member.
