Job Summary:
The Executive Assistant provides high level support for three members of the Information Services Leadership Team located in the Victor, NY office. This is a OneCooper position, and actions will span across both CooperVision and CooperSurgical locations.
Responsibilities
Executive Support and ManagementProactively anticipate needs and identify ways to build capacity and create efficiencies for executives he/she supports, with our business priorities in mindAct as a conduit between executive and leadership team and other senior executives, across many communication channels, while upholding a high level of integrity and discretion in handling confidential information as well as professionalismProvide rapid triage and referral of matters to appropriate parties across a global organization for action and follow up to ensure proper resolutionBuilding and maintaining strong relationships with people at all levels, inside and outside of the organizationCoordinate, manage and anticipate executives' complex calendar and scheduleTrack and help drive completion of key deliverables and follow up on outstanding itemsPlan and arrange any business travel and itineraries for executive (global and domestic)Manage expense report coordination and submissionCreate or edit routine and non-routine correspondence, memorandums, presentations and reportsManage and execute projects and tasks quickly with little to no guidance, react with appropriate urgency, problem solve and take effective action, often times with limited informationSupporting the executive in every facet of leading their business functions. Miscellaneous administrative tasks and projects, as needed.Meeting, Event Management and Planning
Planning and preparing logistics for company/team/department meetings and events, including but not limited to, securing and negotiating a venue, making travel arrangements, calendar invite coordination, catering, audio/visual, attendee management, print development, shipping & packing event materials, on-site registration, post-event procedures and any other logistical coordination requiredArrange frequent travel itineraries for executives and other employees for offsite meetingsProblem solve travel and logistic issues as they ariseManage and track expenses budget for eventsManage and track multiple project deliverables and timelinesServe as POC with Finance; working with vendors, processing contracts and invoicesOther Projects and Administrative Tasks
Provide support and follow up on assigned project deadlines with executives and their direct staff membersAssisting with onboarding of new employees (office/cube set up) and agendasMaintain department meeting minutes and ensure follow-up on action itemsTravel Requirements :
Estimated 5% to 10% travel requirement.
Qualifications
Knowledge, Skills and Abilities:
Excellent verbal and written communications skillsGood organizational and project management skillsAbility to communicate effectively and efficiently while maintaining flexibility and composureAbility to build relationships with all levels of the organizationAbility to multi-task and establish prioritiesGlobal travel logistics experience; experience with Concur is a plusProactive and willing to take on new challengesFlexible to changing priorities and able to adjust to them quicklyIntermediate/Advanced skills in Microsoft Office software, including Outlook, Word, Excel and PowerPointKnowledge of applicable laws and regulations.Work Environment:
Normal Office EnvironmentProlonged sitting and using a computerAble to work in a global/multi-time zone environmentExperience:
• Minimum 8 to 10 years of related experience required
Education:
Associate degree or equivalent experience, Bachelor's Degree preferred.

For U.S. locations that require disclosure of compensation, the starting base pay for this role is between $73,174.00 and $97,565.00 per year and may include cost of living adjustments. The actual base pay includes many factors and is subject to change and modification in the future. This position may also be eligible for other types of compensation and benefits.
