Job Responsibilities
Under limited supervision, performs a variety of administrative duties in the operation of a state Forest office. Assists in planning and implementing the day-to-day operational activities within the state forest. Applied knowledge of policies, operations, programs, and functions of the agency in initiating and processing information and materials.
Serves as office manager; reviews, supports, and maintains overall administrative functions and related activities within the State Forest. Serves as customer service representative responding to phone calls and customer requests. Assists in planning and implementing day-to-day operations of the office such as prepares/routes correspondence, generates reports, assembles and mails materials, and files and archives documents in accordance with the retention schedule. Coordinates the ordering and maintaining of office supplies and postage needs.
Collects revenue from pine straw sales, timber sales, and permit issuance; prepares timely and accurate deposits. Assists with the forest products sales process. Prepares and processes purchase orders and requisitions related to regional expenses and acts as backup to Administrative Specialist in processing monthly utility bills. Processes and reconciles the VISA procurement card purchases and fuel receipts.
Serves as the administrative liaison with the Human Resources Office. Provides regional employees with time sensitive materials and information related to benefits programs as well as policy and procedure updates. Prepares personnel actions forms, maintains electronic position descriptions, Employee Performance Management System (EPMS) documents and other human resource documents.
Coordinates and schedules recreational areas and activities. Issues permits.
Performs special projects/assignments and other duties as requested in support of the agency's mission and strategic initiatives.Minimum and Additional Requirements
A high school diploma and three (3) years of relevant program experience or an associate's degree with one (1) year of relevant program experience or a bachelor's degree.
Basic to intermediate computer proficiency. Must be knowledgeable of Microsoft Office products.
Position is located in an office environment. Must be able to remain in a stationary position for long periods of time. Must be able to lift 25 pounds, bend, kneel and squat. Occasionally moves around the office to file and access other machinery.Additional Comments
Advanced knowledge of the agency's mission, programs, considerable knowledge of modern office methods, practices, and technology. Ability to exercise good judgement and discretion concerning highly sensitive and confidential information. Must possess strong interpersonal skills and be able to interact with agency staff and the public in a professional and effective manner. Ability to work with a high level of job accuracy, efficiency, and dependability; must have strong time management and organizational skills.
Works under limited supervision and performs job duties independently. Must be able to exercise sound judgement and discretion in making routine decisions and implementing the Commission's policies and procedures.
Work schedule for position is Monday-Friday 8am-4pm.
