Job Description:
The Division of Vocational Rehabilitation is looking for an organized, helpful and dynamic team player to provide administrative support to the Chief of Field Services. Duties include but are not limited to:
Administrative:
managing records and files for the bureau, and their appropriate disposalmaintaining calendars and itinerariespreparing memoranda, emails, reports, and lettersdeveloping and analyzing spreadsheet, graphs, and charts of dataresponding to telephone inquiriesassisting with meeting planning to include meeting logistics, transportation, training materials, schedules, registrations, travel, and hotel/meeting space logistics
Purchasing
preparing, tracking, amending, canceling or closing-out purchase orders and p-card transactionsensuring that services and commodities are procured accurately and received timelytracking budget allocations, encumbrances, expenditures, reconciling monthly expenditures, and briefing the supervisor
Travel:
preparing and processing travel authorizations and reimbursementscoordinating travel logistics and itinerariestracking travel expenditures and projecting estimated cost for planning purposes
Minimum Requirements:
A bachelor's degree from an accredited college or university, and two years of administrative experience. A master's degree from an accredited college or university can substitute for one year of the required experience. Ability to utilize problem-solving techniques
Ability to work independently
Ability to plan, organize and coordinate work assignments
Ability to communicate effectively
Ability to establish and maintain effective working relationships with others
