Executive Assistant (EVP/Chief Human Resources Officer)

Basic Function
Provides advanced, confidential administrative support to the Executive Vice President/Chief Human Resources Officer and HR Project Manager. Creates and disseminates internal communications and prepares communications and presentations for monthly Board and Committee meetings. Discretionary handling of confidential information is a critical aspect of this job. Performs duties in a safe, efficient manner and in compliance with all applicable rules and safety procedures.
Responsibilities and Specific Duties
Assists with correspondence, memos, letters, and reports.Screens telephone calls and visitors and resolves routine and complex issues.Establishes, monitors and follows-up on pending items requiring approval.Maintains Executive Vice President's calendar, schedules meetings and travel arrangements, etc.Reviews and updates HR guidelines, policies, programs and practices as needed. In conjunction with the EVP/CHRO and Project Manager, develops implements human resources policies and guidelines to meet organizational needs and comply with state and federal laws.Coordinates with the Special Projects team for posting guidelines on the document central library.Maintains office filing/records system according to METRO's file retention program.Maintains office supply inventory. Initiates requisitions for standard and non-standard items.Interacts with all levels of management.Prepares documents for account expenditures and determines expense allocations.Ensures accuracy and proper documentation of staff expense reports.Compiles and prepares travel and administrative account reports.Makes copies of materials, correspondence and reports as needed.Monitors and responds to the HR related complaints through the Public Comment System.Assists the HR Project Manager with the following:
Reconciling and processing vendor payments and other invoicesMaintenance of the HR procedures and guidelinesDevelopment and submission of Board documentsCoordinating the quarterly updates of organization charts for all departments
Provides excellent customer service to METRO internal and external customers.Applies SMS methods and principles in their daily routine and supports all aspects of the agency's Public Transportation Agency Safety Plan (PTASP).Promotes safety awareness and follows safety procedures to reduce or eliminate accidents.Performs other job-related duties as assigned.
Education Requirement
High school diploma or GED is required. Additional specialized/technical training, and/or college courses are preferred.
Years & Experience Required
Minimum of eight (8) years administrative support experience. Executive level support and general Human Resources experience is preferred.
Knowledge & Skills Required
Strong Microsoft Office skills (Word, PowerPoint and Excel). Sound judgment, time management and organizational skills. Excellent (verbal/written) communications and interpersonal skills. Certified Professional Secretary (CPS)/Certified Administrative Professional (CAP) designation preferred. Accurate typing skills. Typing 60-65 wpm preferred.
