Description

This position provides document control support for all product releases. This includes reviewing and routing incoming documents, review, and routing change orders, releasing change orders, releasing change order in Oracle system, maintaining customer records, tracking change orders to ensure timely release, and maintaining the electronic document management system.

A Documentation Control Specialist is a quality focused individual who is responsible for performing tasks that will drive the timely release and change of product documentation, records and supporting data throughout the product's lifecycle.

This position will work with Development, Operations, Manufacturing, Quality, and other functional areas globally to ensure product documentation and data are processed in a timely fashion and in accordance with policies and procedures. In addition, this role must be flexible for changing priorities.

Position Responsibilities

• Prepare documentation for archive review and process engineering change orders, detailed BOM structure knowledge; understand AVL, MRP, and technical documentation review.

• Ensure project drawings and documents are released in a controlled manner and within agreed timescales.

• Maintain project electronic and hard copy filing systems in accordance with procedures identified by the project team.

• Deal professionally with highly sensitive and confidential information.

• Capable of working on daily routine duties with little or no supervision.

• Proofreads and checks change orders for accuracy, completeness, and compliance with Company standards and ensures that the latest revision of documentation is processed in a timely manner, Including but not limited to, all engineering drawings and Specs, Work Instructions, BOM Structures, Manufacturer part numbers and Change Orders which include ECO's (engineering change orders), MCO's (Manufacturers change orders)and Deviations

• Manage routing and approval of ECOs, MCO's and Deviations.

• Identify bottlenecks in the approval process and work to eliminate them.

• Follow product lifecycles to ensure the lifecycles meet the criteria to move from one lifecycle to the next lifecycle from Preliminary to Obsolete lifecycles.

• Process released changes manually in an MRP System.

• Maintain accuracy and consistency between MRP System BOM and Manufacturing BOM.

• Work closely with Purchasing, Production, and Program Management to ensure smooth transition of released changes into Production.

• Create instructional slides in PowerPoint for processes in Agile and MRP System

• Create new and update existing QMS documentation Processes.

• Training of new employees on the use of the PLM system and Documentation processes including but not limited to Part numbering, Change order creation and submission, Lifecycle Phases, Manufacturers and Manufacturers art Numbers.

• Create change orders as assigned or requested.

• Complete special projects and other duties as assigned or requested.

• Work successfully and in coordination with others and other departments.

• Track monthly KPI's (Key Performance Indicators for the Change order process.

• Facilitate the change control process from initiation through all workflow steps to implementation.

• Follow product lifecycles to ensure the lifecycles meet the criteria to move from one lifecycle to the next lifecycle from Preliminary to Obsolete lifecycles. Enter Routings in the MRP system for newly released Product.

• Set-up new released Parts in a MRP system per purchasing standards

• Send monthly reports to the Finance Manager of all released part numbers to ensure Agile and Oracle are in sync with part number lifecycles.

Requirements

• 1+ years of document support in an engineering environment

• Experience in organizing document workflows, deliverables, and production logistics.

• Well-versed in the function and usage of Agile PDM

• Experience with and background in ERP/MRP production systems experience.

• Proficient with Microsoft Office Suite

• Ability to work on multiple tasks, prioritize work and meet deadlines.

• Excellent organizational and communication skills

Position Requirements Plus

• Knowledge of Electrical and Mechanical Components a plus

• Working knowledge of Oracle ERP systems

• Experience reading Manufacturers Part numbers a plus.

• Knowledge of RoHS and Reach Compliancy Standards a plus.

• Associate degree or higher a plus
