We are seeking a detail-oriented and proactive Administrative Assistant to support our engineering team. The ideal candidate will provide comprehensive administrative support, ensure efficient operations within the group, and facilitate effective communication among team members.

AS A SECRETARY EXECUTIVE, YOU WILL:

Provide administrative support to engineering staff, including scheduling meetings, managing calendars, and coordinating travel arrangements

Organize and coordinate meetings, department communications, and other events, including arranging meeting spaces, accommodations, meals, and technology

Answer phones, prioritize interruptions and take messages

Maintain up-to-date organizational charts and contact lists

Serve as a point of contact for internal and external communications, responding to inquiries and directing them to appropriate team members

Manage employee breakrooms including ordering and stocking breakroom and office supplies

Support the procurement process by assisting with purchase orders and vendor management

Collaborate with other departments to streamline processes and improve efficiency

REQUIRED EDUCATION, EXPERIENCE & SKILLS:

AS degree and at least 5 years of administrative experience with executive leadership, or an equivalent combination of education and experience

Intermediate to expert knowledge and use of Microsoft Word, Outlook, Teams, PowerPoint, Excel, and SharePoint

Positive, can-do demeanor even in stressful situations

Experience building relationships and partnering with executives

Ability to handle confidential information with integrity and exercise discretion

Strong attention to detail and accuracy, with a high level of discipline and timely follow-through

Strong problem-solving skills, with a bias toward action and enabling the team to execute efficiently and effectively

Ability to work independently and function as part of a team in a dynamic, agile work environment

Well-developed organizational, prioritization, multitasking, and time management skills

Strong, clear, and concise verbal and written communication skills and ability to interact with all levels of internal and external contacts with tact and professionalism

Legal work authorization in the United States - Sponsorship will not be provided for this role.

PREFERRED EDUCATION, EXPERIENCE & SKILLS:

Excellent skills using advanced communication equipment, specifically in conference rooms and for meetings

Experience with complex domestic and international travel and/or customs using the system Concur

Schedule:

The general working hours for this role are 8:00 AM - 4:30 PM EST based onsite.

About Our Location

Our newly renovated Sidney campus has 1M square feet of manufacturing floor with an additional 120k square feet of leading-edge lab facilities. This location is the headquarters for our HVACR Americas business unit. Through our many years of compressor expertise, our products help bring comfort and convenience to refrigeration, commercial, industrial, and residential spaces. Approximately 1600 employees work in Sidney, who all support a multitude of business functions.
