The successful candidate will be responsible for supporting our team in delivering excellent services to clients, handling administrative tasks, managing schedules, and ensuring smooth office operations. Key Responsibilities
Office Administration: Handle day-to-day office operations, including managing supplies, organizing files, and ensuring the workspace remains organized and professional. Scheduling and Calendar Management: Coordinate and schedule meetings, calls, and appointments for the leadership team, managing calendars to optimize time and efficiency. Client Support: Serve as a point of contact for clients, assisting with inquiries, and providing exceptional customer service to enhance the client experience. Documentation and Data Entry: Prepare, organize, and maintain documents, reports, and client records; manage data entry with high accuracy and attention to detail. Communications: Draft and manage correspondence, emails, and other communications as needed; assist with content creation for newsletters and client updates. Event Coordination Support: Assist in planning and coordinating Pathways Mentorship events, workshops, and client meetings, ensuring all logistics are well-managed. Billing and Invoicing: Support financial operations by managing invoices, assisting with billing, and following up on outstanding payments. Social Media and Marketing Assistance: Collaborate on social media and marketing efforts to promote Pathways Mentorship programs and services as needed.
Qualifications * Education: * High school diploma or equivalent required; Associates degree or relevant certification in Office Administration or a related field is preferred. **Experience: 2+ years of experience as an administrative assistant, preferably in a professional services, consulting, or mentorship-related environment.
Skills: - Strong organizational skills and attention to detail. - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). - Excellent written and verbal communication skills. - Ability to handle sensitive information with discretion and maintain confidentiality. - Comfortable using scheduling, data management, and communication software. - Familiarity with social media platforms and basic marketing practices is a plus.
