Primary Purpose of Position:
The
Administrative Assistant
provides operational support for both the Guest & Volunteer Services and Evaluation & Project Management sections. This position primarily manages standard office operations and fiscal responsibilities for each section, including but not limited to calendar management, budget tracking and reporting, and maintenance of statistical data.
Reporting directly to the Director of Guest & Volunteer Services, this role will provide 80% support for this section and will provide 20% supplemental support for the Director of Evaluation & Project Management.
Key Responsibilities include but are not limited to:Compiles all data and prepares reports in such areas as budgeting, museum guest attendance/visitation, volunteer & intern hour contributions, participation in Museum activities by target audiences, and purchasing.Responsible for attending meetings as needed, assisting in meeting preparation and room setup for section meetings, taking meeting minutes, and communicating with meeting invitees.As a member of the Guest and Volunteer Services Section, this position will assist with front-line guest welcoming as needed.Conducts research on new and best practices for G&VS, E&PM and museums in general; general Museum evaluation; opportunities for Museum collaboration with outside organizations, Capital Area Visitor Services group registration system; and other research assistance for the Director of G&VS, Director of E&PM, and other Museum staff.Acts as a liaison between section staff and budget officer to ensure all processes and procedures are followed while assisting in preparations of, contracts and other documents needed for E-Procurement.Assists section director and other section staff with other databases, such as scheduling through the Museum's calendar system, Capital Area Visitor Services (CAVS) group registration system, submission and tracking of Facilities requests, and DIT and OITS help requests systems.Knowledge, Skills and Abilities / Competencies

Guest and Volunteer Services Section
functions as the bridge between the Museum and the public, serving a variety of audiences including our guests, volunteers, interns, external collaborators, and fellow Museum staff members. We are an accurate source of information about the Museum, its history, exhibits and programs to these audiences to enhance appreciation and understanding of science, natural history, conservation, and the environment. Guest and Volunteer Services recruits and onboards volunteers and interns for all sections of NCMNS, pairing them with staff supervisors, while maintaining oversight and reporting responsibility. Evaluation & Project Management Section
engages advanced skills in analytical thinking and team building bring together all the many parts of the museum to accomplish major projects and ensure the museum meets our mission to illuminate the natural world and inspire its conservation. Through a robust evaluation expertise, the section encourages best practices in data measurement and analysis. Additionally, maintaining timelines, organizing chaos, and coordinating collaboration and communication are ways the section shines in providing quality project management for the museum.

The State's museum devoted to science and nature, North Carolina Museum of Natural Sciences in central Raleigh is the largest institution of its kind in the Southeastern United States and, with over a million visitors a year, the state's most visited museum. Its 300,000 square foot downtown campus is augmented by Prairie Ridge Ecostation and satellite facilities in Whiteville, Greenville, and Contentnea Creek. Together, they provide a variety of curriculum-focused classes onsite, offsite, outdoors, and online for pre-kindergarten through graduate students across the state.
