Join Utah Valley University as a part-time Administrative Assistant and play a vital role in supporting the Applied Engineering and Transportation Technologies department. Under the direction of the Department Chair, you'll handle a wide range of administrative and planning activities to keep the office running smoothly. Your responsibilities will include preparing faculty meeting minutes, managing correspondence, updating the department's web page, and creating engaging social media content to promote lab classes.

This position is perfect for someone with strong organizational skills, computer proficiency, and a knack for social media. As the first point of contact for phone inquiries and scheduling, you'll ensure effective communication and coordination within the department. Summary of Responsibilities

Performs moderately complex and confidential administrative work such as entering student data, maintaining records, scheduling appointments, composing routine correspondence, and obtaining/providing factual information requiring knowledge of policies and procedures of both assigned and work-related areas.Post all student job and internship opportunities in various places. Responds to inquiries as necessary.Answers phone, takes messages, reply to emails, and address incoming general department and university inquiries. Assists department coordinators, faculty, and staff with various administrative needs. Must know social media.Maintains media, i.e., webpage, Facebook, and electronic screens.Other job-related duties as assigned.Qualifications / Licenses / Certifications

Graduation from an accredited institution with an associate's degree and one year of experience or any combination of education and experience related to the Summary of Duties totaling three years.

Knowledge / Skills / Abilities

Knowledge

Knowledge of computer hardware , software applications. (i.e. Microsoft Word, Excel, PowerPoint, etc.)Knowledge of good customer service standards.Must be available for events throughout the year. Must know various social media sites such as Twitter, Facebook, etc. to update department accounts.Skills

Skills in office methods, techniques, practices and procedures.Skills in organization, database management and coordination.Skills in the use of computers, and computer software applications, including word processing, spreadsheets, email, and databases.Exceptional customer service orientation and phone etiquette.Skills in maintaining confidentiality at all times.Must have skills in social media procedures.Abilities

Ability to gather data, compile information, and prepare reports and minutes.Ability to follow verbal and written procedures and instructions.Ability to compose and edit written materials.Ability to communicate effectively verbally and in writing.Ability to meet and work with people of diverse backgrounds.Ability to perform a variety of administrative duties with minimum supervision.
