Description
Cadogan Tate Chicago Limited has an open position for a career-orientated Office Administrative Assistant within the Client Services department. The essential duty of the role is to support all the departments with general administrative and data entry responsibilities. This role would ideally suit a candidate with an interest in logistics within the fine art industry. We are predominantly looking for a candidate who can provide administrative support to our growing team.
This is a high achieving and well-paced office, the team are highly professional and spirited. This is a full time position. The candidate must have proof of authorization to work in the U.S.
Key ResponsibilitiesSupporting our Account Management team day-to-day, inclusive of setting up job files, raising purchase orders, entering Moveware data, producing Bills Of Lading and generating invoices. Providing similar support to our Storage/The Studio team, as required.Ensuring client calls & emails are actioned in a prompt and professional mannerAssisting your Direct Supervisor, General Manager and Director, as requiredProviding an exceptional customer experience at all timesMaintaining files and all communications in accordance with company protocols and proceduresUse all resources available to always ensure an outstanding customer experienceEnsure a high degree of detail and focus on every jobGeneral
Ensure compliance with all HR and other Company policies and procedures that are in placeTo act in the best interests of Cadogan Tate, its customers and its employees, at all timesSkills, Knowledge and Expertise
Bachelor's degreeWorking knowledge of our fine art industryAbility to work well under pressure, to cost and time constraintsEvolving problem-solving skills, able to use intuition to resolve any issues and complaints from the clientHighly organized and detail orientated, with the ability to keep multiple projects and client engagements active at the same timeAbility to thrive in a fast paced, multifaceted work environmentProficiency in Microsoft Office and internal computer systems - Moveware / The Studio (training will be provided)Professional email etiquette and telephone mannerisms that maintain politeness and courtesy at all timesExcellent time management and organizational skills - Ability to multi-task, as requiredTeam player, able to work with all levels of staff in a dynamic environmentComfortable in a results-driven workplaceData entry experienceProfessional appearance and demeanorBenefits
