Title:Administrative Assistant to the District Office

Job Summary:Serves as the first point of contact in the District Office to greet visitors and answer phone calls while maintaining professional composure throughout interactions with visitors. Provides clerical support to the Business Office Administrators, Human Resources Director, and Safety and Security Supervisor as necessary in a manner that is professional, diplomatic, and complies with confidentiality requirements. This position is additionally responsible for preparing and depositing school district funds and accounting for them appropriately, entering cafeteria account payments, maintaining the student activity and scholarship account databases, and tax accounting. This is a 251 days/year, 7.5 hours/day position.

Payrate:

$21.38 to $24.60/hr (starting rates for candidates dictated by school based experience)

Receptionist/Administrative Assistant

Serves as the district office receptionist by greeting visitors in a friendly, welcoming manner while adhering to building safety protocols.Perform general office duties for the district office such as, but not limited to, answer and direct phone calls; mail distribution; districtwide mail postage posting; and fax distribution.Clerical support for the central office administration including, but not limited to, organize and schedule appointments; take detailed meeting minutes as necessary; write and distribute email, correspondence memos, letters, faxes, and forms; develop and maintain filing systems; purchase order entry as necessary.Act as collection point for equipment, badges, etc. for offboarding employees.Verifies and reports Act 80 residency (school district residency for PA income tax purposes) to the Pennsylvania Department of Revenue.Prepare and verify HACC certificates of residency.Process new student and staff identification badges.Collect and review volunteer clearances.Assist in data entry of completed Act 48 hours for the district's professional staff members.Management of marquee.District newsletter.

Accounts Receivable

Deposit monies for all funds at our local bank/electronically. Post all deposits collected for the district and maintain proper data in financial software.Oversee the continuous, careful posting of taxes. Verify the deposit of Real Estate Tax collector to the duplicate using the appropriate computer software programs.Oversee all student activity fund and scholarship fund deposits; maintain a record of all student activity and scholarship account balances.Create and distribute billing invoices as necessary.

Secondary Duties:

Perform as backup for the Transportation Coordinator.Serve as a backup for districtwide mail sorting and distribution.Coordinate with the District Registrar to assist with registering students during the summer months.Perform other duties as assigned.Human Relations / Contact and Communications:

Must be able to interact effectively both with verbal and nonverbal communication with district staff, parents, students, contractors, vendors, etc. All communications should be of a professional nature while also being an engaged listener. Effectively build a collaborative nature with all stakeholders.
