Job Summary
This role will provide administrative support for Chief of Staff. In a confidential setting, perform a variety of administrative tasks including maintaining calendars, scheduling meetings and events, arranging travel orhandling incoming inquiries. Create agendas, flyers, or promotional materials. Update and maintain websites, photo files, RSVPs, databases and mailing lists. Assist in preparing reports. Provide cross-coverage to the Office of the President.
Duties & ResponsibilitiesMaintain calendars, schedule meetings, schedule deadlines and reminders, prepare agendas, collect and provide support materials, and record and distribute minutes.Update and maintain mailing lists, multiple invitation lists, RSVP lists and photo files.Assist with event coordination, including room reservations, occasional set ups, catering, and printing nametags. Occasional support during events which can include nights and weekends during academic year.Assist with collecting and maintaining system for event photos - hiring photographers with supervisor defined photo strategy for social media, stewardship and messages with photos.Coordinate with Office of the President staff to maintain Westwood event calendar, provide standard materials for the President, and provide office support as needed.Arrange travel, order supplies, maintain organizational files, make copies, distribute incoming and outgoing mail, ensure proper function of office equipment.Manage receipts, reconcile credit card statements, and pay invoices through Purdue systems.What We're Looking For:
High School Diploma/GEDTwo or more years of experience in a clerical or administrative support roleAbility to handle frequent interruptions, prioritize tasks, meet deadlines, and maintain confidentialityOrganizational and time management skillsAttention to details and routinesSufficient computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, web conferencing tools, etc.Typing, drafting, filing, data entry, proofreading, and editing skillsAbility to identify routine problems and recommend solutionsFlexibility to manage requests from multiple formats (ie. Texts, email, teams, etc.)What We Want You To Know:
