The Western Railway Museum is looking for a Volunteer Coordinator to join our team in our office in Suisun City, CA with a start date of Thursday, January 2nd.
ABOUT THE ORGANIZATION:Since 1946, the Western Railway Museum (WRM), in Solano County, California has preserved the regional heritage of electric railway transportation for present and future generations. A museum of interurban transit equipment, it holds the largest collection of Sacramento Northern Railway equipment and offers an array of family fun activities including over 50 historic cars on display, railway exhibits, the Museum Store and Gift Shop, and historic streetcar and interurban electric train rides. The museum is operated by the Bay Area Electric Railroad Association (BAERA), a non-profit organization that was created to foster interest in streetcar, interurban, and mainline electric railroad operations, and to preserve these rapidly vanishing pieces of history.
Our museum is supported by a community of 1,000 members and 100 volunteers, alongside revenue from ticket sales, museum store sales, cafe sales, and generous tax-deductible donations from organizations and individuals alike.
POSITION SUMMARY:We are excited to announce an opportunity for a Volunteer Coordinator to join our team. This role will be pivotal in enhancing our volunteer program and supporting the growth of volunteers across all departments, including Track Department, Overhead Lines & Substations, Archives, Train Operations, Restoration/Repair Shop, and the Docent Program.Our organization thrives on the dedication of our essential volunteer force alongside a committed paid staff of 11. The contributions of the Volunteer Coordinator will be crucial in expanding our capacity and ensuring the sustainability of our operations.The Volunteer Coordinator will report directly to the Executive Director and will play a key role in in the organization and development of the volunteer program. This position is instrumental in building upon the foundation of our volunteer base to secure our future success.RESPONSIBILITIES:Recruiting: Identifying and evaluating potential new volunteers to ensure they align with our organizational needs and values.Training: Coordinate with various departments to organize orientation sessions and specialized training workshops for specific volunteer roles.Placement of Volunteers: Assigning volunteers to appropriate roles based on their qualifications and our current needs.Follow-Up: Timely follow-up by phone and email with current volunteers and new volunteer inquiries is essential for maintaining engagement and interest.Record Organization & Maintenance: Utilizing DonorPerfect, to organize all volunteer records efficiently, ensuring accuracy and accessibility. Keep precise records of volunteer activities, including hours worked, contact information, ensuring data integrity.Policy Creation: Collaborate with the Executive Director and Program Superintendents to draft policies that guide volunteer behavior effectively.Communication: Maintain clear communication channels with internal departments and external partners, fostering a collaborative environment.Volunteer Recognition: Coordinate events that recognize volunteer contributions as well as establish/maintain a volunteer recognition program.Liaising: Serve as a liaison with external organizations that provide volunteers, ensuring smooth collaboration and mutual support.Networking Participation: Engage in networking events as needed to expand our professional connections and enhance outreach capabilities for the museum.Other duties as needed.These responsibilities are integral in supporting the museum's mission by effectively managing our volunteer program while fostering community engagement through strategic partnerships.MINIMUM QUALIFICATIONS:Demonstrated excellence in one-on-one communication skills.Exceptional verbal and written communication capabilities.A genuine passion for helping others, coupled with a friendly and outgoing personality.Strong problem-solving abilities and practical common sense.Proficiency in collaboration, conflict resolution, and team-building skills.An organized and detail-oriented work ethic.Competence in using (CRM) or donor database software, and Google Suite.Ability to work effectively both independently and as part of a team.Willingness to work weekends regularly and evenings for events as needed.A positive, upbeat attitude with a healthy sense of humor.Additionally, candidates must successfully pass a background and DMV check. Possession of a valid California driver's license and vehicle insurance is also required.
