Reporting directly to the Assistant Dean, this position must be able to work independently, possess strong communication and interpersonal skills and have knowledge of UA policies and procedures. The individual in this position must embrace diplomacy and strong problem-solving skills as they are the first point of contact for the public and campus partners. In addition to administrative duties, the Office Manager may be responsible for leading a team of student workers who engage with or triage initial inquiries from prospective students, families, and other key stakeholders. Duties & Responsibilities Duties and Responsibilities: Prospect Student Triage Supervise a team of student workers and guide initial outreach to prospective international students via email, phone, WhatsApp, webinars and more Develop and recommend goals for customer service in International Admissions Utilize the Slate CRM software to best track and record student interactions and progress through the admission funnel Effectively communicates international admission and enrollment information and represents the University of Arizona, its mission, programs, rankings, policies, and procedures to a broad range of constituents Develops a depth of knowledge about all admission pathways for prospective graduate and undergraduate international students Administrative Support Receive, direct, and respond to visitors, telephone calls, and emails Maintains schedule for phone and office coverage Facilitates smooth communication with internal and external stakeholders on behalf of International Admissions and the Assistant Dean Manage calendar of activities for the International Admissions office and Assistant Dean of International Admissions Provide travel support on behalf of the Assistant Dean of International Admissions including purchasing, scheduling, and expense reporting. Creates expense reports, travel authorizations, and reimbursement requests. Liaison and collaborate with AZI colleagues to complete reports and briefs including annual reports. Gather, compile, verify, analyze and prepare information for use in documents such as memos, letters, reports, speeches, presentations, and news releases Provide support in the coordination of administrative activities, including office supply inventory, and other duties as assigned Creates and updates training manual and process guides for International Admissions procedures Assists with management of agent partnerships including paperwork, tagging in CRM software, commission reports, and other related duties Coordinate campus visits for International Admissions guests, including agents, school staff and other partners Knowledge, Skills, and Abilities: Excellent customer service skills Excellent communicator, both verbal and written Strong organizational skills Ability to build effective relationships with a wide range of people Willingness and flexibility to learn new skills in a diverse, collaborative, rapid-paced enrollment counseling environment Strong organizational and verbal communication skills Skilled in the use of computers including Microsoft Word, Excel, Access, etc. Minimum Qualifications High school diploma or high school diploma equivalency is required. Five years of relevant work experience in office/clerical work or customer service or, any equivalent combination of education and work experience. Preferred Qualifications Bachelor's degree in related field AND one year of relevant work experience in office/clerical work or customer service.
