Commercial Property Manager (High-Rise Office Building) On-site: Toledo, OH Job Summary: We are seeking an experienced and detail-oriented Commercial Property Manager with expertise in managing high-rise office buildings to support our client in the Midwest. The ideal candidate will have a strong understanding of commercial real estate operations, tenant relations, building systems, and maintenance, with a focus on providing exceptional service and ensuring that properties are operating efficiently and profitably. This position is responsible for overseeing the day-to-day management of a high-rise office building, ensuring tenant satisfaction, optimizing operational performance, and maintaining high standards of building upkeep. Key Responsibilities: - Property Operations & Maintenance: - Oversee the day-to-day operations of high-rise office buildings, ensuring that all systems (HVAC, electrical, plumbing, security, elevators, etc.) are functioning properly and are in good working condition. - Coordinate and manage routine and emergency maintenance, repairs, and capital improvement projects, working with contractors and vendors to ensure quality and cost-effective solutions. - Conduct regular property inspections to ensure compliance with safety, security, and building code requirements. - Develop and implement preventative maintenance programs to minimize downtime and reduce long-term repair costs. - Tenant Relations & Services: - Serve as the primary point of contact for tenants, addressing concerns, managing requests, and ensuring a high level of tenant satisfaction. - Maintain strong relationships with tenants, working to ensure lease compliance and a positive tenant experience. - Address tenant inquiries and complaints in a timely and professional manner, working to resolve issues efficiently and proactively. - Oversee move-ins, move-outs, and tenant build-outs, ensuring smooth transitions and minimal disruption to existing tenants. - Leasing & Occupancy Management: - Collaborate with leasing teams and brokers to help drive tenant retention and reduce vacancy rates within the building. - Support the lease renewal process and tenant negotiations, ensuring that lease terms are adhered to and that tenants are satisfied with their space. - Monitor occupancy levels and work to maintain high occupancy through proactive engagement with existing tenants and potential tenants. - Financial Management & Reporting: - Develop and manage annual operating budgets for each building, including estimating operating expenses, forecasting income, and tracking costs to ensure financial performance aligns with company goals. - Monitor and report on financial performance of the property, including revenue, expenses, and capital expenditures, ensuring profitability and cost efficiency. - Approve and process vendor invoices, ensure timely payment of bills, and verify the accuracy of financial records. - Prepare regular reports for senior management regarding property performance, maintenance issues, lease status, and tenant matters. - Vendor & Contract Management: - Manage relationships with third-party vendors, contractors, and service providers to ensure quality service and cost-effective solutions for building operations. - Oversee the procurement and management of service contracts, including janitorial, landscaping, security, and other essential services. - Ensure that all vendors comply with safety standards, insurance requirements, and company policies. - Health, Safety, and Compliance: - Ensure compliance with all federal, state, and local building codes, environmental regulations, and safety standards. - Stay up to date on OSHA regulations, fire safety, and other building codes that impact high-rise office operations. - Coordinate fire drills, emergency preparedness plans, and other safety protocols to ensure the building is in compliance and ready for emergencies. - Strategic Planning & Capital Improvements: - Identify opportunities for building upgrades and improvements to enhance property value, tenant satisfaction, and operational efficiency. - Work with senior management to plan and execute capital improvement projects, such as renovations, building systems upgrades, or energy-efficient initiatives. - Monitor and evaluate building performance, identifying areas for improvement and implementing solutions to enhance overall property value and performance. Qualifications: - Education: - Bachelor’s degree in Real Estate, Business Administration, Construction Management, or a related field. - Professional certifications (e.g., CPM, RPA, or FMA) are preferred but not required. - Experience: - Minimum of 5 years of experience in commercial property management, with a focus on high-rise office buildings or large commercial properties. - Experience managing large, multi-tenant buildings with complex systems and operations. - Strong understanding of building systems (HVAC, electrical, plumbing, elevators, etc.) and property maintenance protocols. - Proven experience managing financial budgets, contracts, and vendor relationships. - Skills & Abilities: - Exceptional organizational and time-management skills, with the ability to prioritize tasks and handle multiple responsibilities simultaneously. - Strong problem-solving and critical thinking skills, with the ability to address issues efficiently and effectively. - Excellent communication and interpersonal skills, with the ability to interact with tenants, vendors, and internal stakeholders in a professional manner. - Proficiency with property management software (e.g., Yardi, MRI, Angus, or similar platforms) and Microsoft Office Suite. - Strong knowledge of commercial real estate laws, tenant lease agreements, and fair housing regulations. Physical Demands: - Ability to walk the property and inspect building systems, including mechanical rooms and rooftop spaces, as needed. - Occasional lifting of up to 25 pounds for various tasks, such as equipment or supplies. - Ability to respond to emergencies or unexpected events that may require extended hours or physical presence at the property.
