Property Management Assistant Delta Dallas is currently representing one of the top Commercial Real Estate/Property Management firms in the country in its search for a Property Management Assistant in one of its Atlanta properties. The Property Management Assistant provides the first level of customer service to tenants, vendors, and the engineering team. Primary responsibilities: Answers and directs incoming phone calls, assisting tenants, engineering services, property management team and vendors with all needs Manages incoming/outgoing mail and packages Manages tenant files (including certificates of insurance, access cards, lease documents, employee rosters) Manages property work order system, including entering, following through, and closing out work orders as necessary Acts as liaison with property management and security team with visitor access, monitoring security team’s activity reports and any other security related issues Constant communication with the facilities team to manage any and all janitorial issues Vendor management in property management database (new vendor setup, entry of contract information, updating billing information, bid management) Correspondence and documentation, including vendor service agreements and tenant/vendor correspondence Works directly with the Property Manager to support the budgeting process Coordinates maintenance/repairs on property, managing vendor timelines, and maintaining constant communication with vendors and tenants Assists with the tenant billing process, including pulling reports from billing systems and invoice management Assists with the planning and coordination of tenant and property events Requirements: Three years’ experience in commercial property management required Three years’ administrative experience in a corporate setting Bachelor's Degree highly preferred Proficient in Microsoft Office JD Edwards experience highly preferred Excellent customer service skills Good written and verbal communication skills.
