We are seeking an Administrative Assistant to join our team in the engineering industry located in Ithaca, New York. In this role, you will be working closely with engineers, processing customer requests and maintaining accurate records. This role offers a long-term contract employment opportunity.
Responsibilities:
• Processing submittals and requests for information (RFIs) in collaboration with engineers
• Answering inbound calls and providing excellent customer service
• Managing data entry tasks and maintaining customer records
• Handling email correspondence with clients and team members
• Assisting in scheduling appointments and managing calendars
• Operating Microsoft Office Suite and Adobe Acrobat for various tasks
• Photocopying and scanning documents as required
• Processing mail and handling the phone switchboard
• Filling in as a backup to the receptionist when necessary
• General printing and scanning tasks as required• Minimum of 2 years experience in an administrative role within the engineering industry
• Proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint, Word)
• Experience in handling inbound calls and providing excellent customer service
• Strong data entry skills and ability to manage email correspondence effectively
• Ability to schedule appointments and manage calendars
• Familiarity with Adobe Acrobat for document management
• Experience in photocopying, scanning, and processing documents
• Ability to handle requests for information in a timely and efficient manner
• Experience in mail processing and managing phone switchboards
• Excellent organizational and multitasking abilities
• Strong written and verbal communication skills
• Ability to work independently and as part of a team
• High attention to detail and problem-solving skills.
