Executive Assistant

LHH has partnered with a dynamic and growing client in the Nashville, TN area to help find talented Executive Assistant to join their team. This role requires discretion, a proactive approach, and exceptional organizational skills to ensure smooth daily operations for the executive and their office.
Responsibilities:
- Maintain and manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prioritize and organize competing requests, ensuring time efficiency and adherence to the executive’s strategic priorities.
- Draft, review, and manage correspondence, including emails, letters, and reports on behalf of the executive.
- Prepare agendas, presentations, and briefing materials for meetings.
- Organize and coordinate meetings, conferences, and events, both on-site and off-site.
- Take minutes during meetings, ensuring follow-up actions are tracked and completed.
- Arrange complex travel itineraries, including flights, hotels, ground transportation, and visa requirements.
- Assist with managing and organizing office operations, including supplies, equipment, and other logistics.
- Oversee special projects and handle ad-hoc requests to support the executive's objectives.
- Prepare and manage expense reports for the executive, ensuring timely submissions and adherence to budget guidelines.
- Track and reconcile receipts, invoices, and financial documents.
- Anticipate the executive’s needs and proactively manage issues before they arise
Qualifications:
- Bachelor’s degree in Business Administration, Communications, or related field (preferred).
- Proven experience (3+ years) as an Executive Assistant, Personal Assistant, or similar role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
- Excellent written and verbal communication skills.
- Strong ability to multitask, prioritize, and meet deadlines.

- Monday to Friday
- 8:00am-5:00pm
