We are offering a long term contract employment opportunity for an Executive Secretary and Administrative Assistant based in New York. This role is vital within our team, functioning to provide comprehensive administrative support, managing office operations, and coordinating with various stakeholders.
Responsibilities:
• Manage and process office correspondence with various stakeholders
• Coordinate and arrange meetings and witness interviews
• Conduct initial phone calls with members of the public and people reporting law enforcement misconduct
• Oversee the onboarding process for new personnel
• Assist with recruitment for new staff by coordinating interviews and gathering applications
• Prepare and maintain reports detailing unit activities, workload, and personnel requirements
• Manage office voicemail and ensure messages are promptly addressed
• Oversee travel arrangements and prepare travel vouchers as requested
• Process expense reimbursement for staff members
• Order supplies and schedule meetings as needed.• Proficient in preparing and reviewing reports
• Skilled in managing onboarding processes
• Experience in handling correspondence with internal and external stakeholders
• Familiar with various clerical duties including filing, typing, and record keeping
• Ability to monitor and report on progress of various tasks and projects
• Capable of liaising with various stakeholders including the C-suite
• Experience with managing reimbursements and processing expense reports
• Able to prepare travel arrangements and travel vouchers for executives
• Proficiency in scheduling meetings and interviews
• Comfortable with managing voicemail messages and ensuring they are addressed promptly
• Knowledge of law enforcement procedures, particularly in relation to handling misconduct cases
• Experience in interviewing witnesses in misconduct cases
• Strong organizational skills for managing various tasks and schedules
• Good communication skills for engaging with various stakeholders.
