Job Title: Administrative Assistant to Executive Director of Development Wage/Hour Status: Non-Exempt

Reports to: Exectuive Director of Development Pay Grade: Clerical Pay 7

Dept./School: Development Days: 227

Primary Purpose: Provide support to ensure efficient operation of Development Office and the programs and organizations that are operated/managed within.

Qualifications:

Education/Certification:
  • High School Diploma or GED
Special Knowledge/Skills:
  • Strong organizational skills, effective communication skills (listening, verbal and written), time-management skills, interpersonal skills and the ability to multi-task
  • Ability to work well with a diverse population
  • Skill in developing computer generated documents, graphics and databases
  • Self-motivated with the ability to perform job duties under little supervision
  • Proficient use of personal computer with excellent software skills including word processing, spreadsheets, file maintenance and databases.
  • Typing ability of 50+ wpm
  • Knowledge of QuickBooks preferred
  • Outstanding customer service skills
  • Bilingual (verbal and written) preferred
Major Responsibilities and Duties:
  • Provide clerical support to Director of Development including but not limited to answering phone calls, opening and processing mail, and scheduling appointments
  • Manage department budget
  • Enter requisitions, maintaining physical and computerized records
  • Serve as department Records Management Liaison, ensuring documents are stored and disposed of properly
  • Process payroll for paraprofessional department staff
  • Maintain department calendar for conference room use
  • Maintain integrity and confidentiality
  • Provide clerical support to Education Foundation Board of Directors including but not limited to opening and processing mail, scheduling appointments, and generating reports
  • Keep inventory log of office supplies, incentives, and other resources managed by department
  • Assist, as needed, with providing regular training, resources and support for volunteers, parents and staff to ensure effectiveness of parent and community engagement
  • Assist, as needed, with various district-wide activities
  • Perform other related duties as assigned

Maintain emotional control under stress.

Frequent districtwide travel and occasional statewide travel.

Occasional prolonged or irregular hours.
