Position Information Posting Number 20113020 Position Title Administrative Coordinator FTE 1.00 Position Type Staff Department Mathematics Position Summary Information Job Summary/Basic Function About This Role: Performs a wide variety of administrative duties and serves as a key communication link between the Department of Mathematics and faculty, students, and the general public. Position typically includes work that requires the direction of occasional, non-regular employees, including student assistants, work study students, seasonal employees, interns, and part-time hourly employees. Work requires contact with management personnel from other departments, including coordinators, directors, chairpersons, and associate deans. Contacts may require the consideration of different points of view to reach agreement. This job title normally performs the duty assignment after receiving general instructions as to methods, procedures, and desired end results. There is some opportunity for discretion when making selections among a few, easily identifiable choices. The assignment is usually reviewed upon completion. This job title does research for documents, compiles data for computer entry, and/or enters or oversees data entry. Has responsibility for monitoring budget/fiscal expenditures (typically non-discretionary expenditures). This job title supports the department in maintaining class schedules, serving as an intermediary between faculty and students, and sometimes helping students schedule appointments with faculty. This job also serves as primary point of contact for students majoring and minoring in mathematics. What You’ll Do – Position Responsibilities: Provides administrative support to the Chair and departmental faculty. Drafts department official communication and maintains records and electronic documents. Supports the departmental course schedule and contact list. Does data entry to maintain the schedule and keeps other important documents related to faculty teaching duties. Provides related support by training and supervising student workers; supporting travel documents and reimbursements; and facilitate technical/software support and training. Maintains student database including advising and graduation information for undergraduate students; serves as the point of communication for majors and minors. Prepares and distributes various correspondence; responding to emails; typing required forms and reports; answering and screening calls; copying; coordinating and scheduling meetings and events; greeting visitors; managing calendar; and ordering office supplies. Performs other duties as assigned in response to the needs of the department.
