Job Title: Administrative Assistant, Academic Ventures & Engagement Duration: 03 Months Contract Location: Cambridge, MA 02138 - Hybrid Note: Role will be hybrid - Confirmed, expecting Tue/Thu on campus, possibly Wed to start as well. Top 3 technical or soft skills: (1) Strong attention to detail able to rapidly handle work independently after being trained. (2) Familiarity and comfort with general admin and data/information processing. (3) Familiarity with university systems and processes. Description: Performs the day-to-day clerical, recordkeeping, or processing duties of a particular area or function using common office technology and university administrative systems. Will train on the latter. Gathers data and assists in preparing reports. Provides information to faculty, staff members, students, and the public. Keyboards and processes text and information, and may answer general correspondence. Makes appointments and maintains calendars based on specific instructions. Arrange meetings, and schedule rooms and equipment. May maintain inventory and or order office supplies. Contributes to unit goals by accomplishing clerical or administrative duties as required. Some business training beyond high school is desired. We are seeking a self-motivated temporary employee to provide essential office administration support. The ideal candidate will have experience working in hybrid environments and exhibit strong attention to detail, deadline orientation, along with effective communication skills. This role involves following established workflows, processing financial transactions, scheduling, and data management within our department. Key Responsibilities: Process departmental financial transactions, vendor set-ups, reconciliations, and expense reports in accordance with University policies and financial systems. Schedule and coordinate logistics for complex and frequent in-person and virtual meetings and events, including making technology arrangements, booking facilities, preparing materials, and managing catering and transportation for the department. Collect, organize, maintain, and update departmental data using Salesforce. Manage the AV&E chronological calendar and collaborate with team members to document the impact of AV&E programs. Qualifications: Bachelor's Degree and at least three years of office administrative experience. Strong communication, organizational, and attention to detail skills. Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Experience with scheduling complex meetings. Ability to quickly learn new technologies and systems. Preferred experience with university financial systems (B2P, CONCUR) and CRM database (Salesforce). Familiarity with OpenScholar or similar website-creation systems is a plus.
