Job Title: Office Assistant

Department: Administrative Services

Reports To: Office Manager or Supervisor

Job Summary: The Office Assistant is responsible for providing administrative and clerical support to ensure the efficient operation of the office. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The Office Assistant will assist with general office duties, such as answering phones, managing correspondence, scheduling appointments, and maintaining office supplies.

Key Responsibilities:

  1. Administrative Support:

    • Answer and direct phone calls, take messages, and respond to inquiries in a professional manner.

    • Greet visitors and provide assistance as needed.

    • Prepare and edit documents, reports, and presentations.

    • Organize and maintain filing systems, both physical and electronic.

  2. Scheduling and Coordination:

    • Schedule and coordinate meetings, appointments, and travel arrangements.

    • Maintain calendars and ensure timely communication of changes or updates.

    • Assist in organizing company events or meetings.

  3. Data Entry and Record Keeping:

    • Input and update data in company databases and spreadsheets.

    • Maintain accurate and up-to-date records of invoices, expenses, and other documents.

  4. Office Maintenance:

    • Monitor and order office supplies as needed.

    • Ensure office equipment is properly maintained and serviced.

    • Maintain a clean and organized office environment.

  5. Communication and Collaboration:

    • Serve as a liaison between departments and assist in the flow of communication.

    • Support team members with clerical tasks and special projects.

Qualifications:

  • High school diploma or equivalent; additional certifications or training in office administration is a plus.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management skills.
  • Ability to multitask and prioritize tasks effectively.
  • Attention to detail and problem-solving skills.
