We are offering a short term contract employment opportunity for an Administrative Assistant in Tucson, Arizona. This role is primarily focused on guiding individuals through employment preparation, coordinating job placements, and providing other career advancement services. The industry is dynamic and fast-paced, requiring someone who is highly organized and detail-oriented.
Responsibilities:
• Accurately and efficiently handle the intake, assessment, and orientation of clients eligible for employment services
• Develop comprehensive plans for employment and budget strategies for each employable adult
• Provide coaching on job readiness and job search, and connect clients with job opportunities
• Build and cultivate long term relationships with local employers and staffing agencies to identify suitable employment opportunities for clients
• Assist both clients and employers with post-placement issues and ongoing employment needs
• Monitor the job performance, wage levels, and related metrics of clients
• Record each client interaction in line with program requirements and input client information into database(s)
• Assist with tracking and reporting as needed
• Collaborate effectively with coworkers and partner organizations, and maintain relationships with area service providers for the benefit of clients
• Use personal, insured vehicle and/or public transportation (where available) to travel and transport clients and materials as needed throughout the service delivery area
• Train and supervise the activities of support staff, volunteers, and interns when required.• Minimum of 2 years experience in an Administrative Assistant role
• Exceptional customer service skills, capable of efficiently and professionally addressing inquiries and concerns
• Demonstrated ability to perform data entry tasks with high accuracy and attention to detail
• Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint
• Excellent written and verbal communication skills, capable of effective interaction with all staff levels
• Strong organizational skills with the ability to multitask, prioritize, and manage time effectively
• Capable of working independently with minimal supervision, as well as part of a team
• High school diploma or equivalent required; additional qualifications in Office Administration are a plus
