We are offering an exciting opportunity for an Executive Secretary and Administrative Assistant in Rochester, New York. As part of our team, your primary role will be to handle administrative tasks, ensure smooth communication within the office, and offer support to our staff and public interface.

Responsibilities:

• Accurately process data entry tasks into Microsoft Access, Excel, and Word documents
• Act as a liaison between staff, other employees, and the public, coordinating information flow
• Handle incoming telephone calls and address queries from visitors to the office
• Coordinate and schedule meetings, as well as manage travel arrangements
• Operate office equipment requiring proficient use of keyboard and knowledge of various software to generate correspondence, reports, and other documents
• Ensure efficient distribution of incoming mail and handle correspondence, including reviewing incoming and drafting appropriate responses
• Maintain office filing systems, both physical and electronic, for easy access and retrieval
• Carry out scanning tasks and saving documents in electronic formats
• Perform any other duties as required to support the administrative needs of the office.• Proficiency in data entry tasks
• Advanced knowledge of Microsoft Excel
• Familiarity with the Microsoft ecosystem
• Understanding and experience with policy development
• Ability to handle answering inbound calls professionally
• Expertise in using Microsoft Word for document creation and editing
• Experience in review procedures and processes
• Knowledge of "About Time" project management software
• Understanding of medical coverage policies
• Ability to perform scanning tasks efficiently
• Proficiency in managing and organizing correspondence
• Experience with Microsoft Access database management
• Ability to act as a liaison between different departments or individuals
• Willingness to arrange travel logistics
• Excellent communication skills, both written and verbal
• Knowledge of consumer electronics industry
• Experience in supporting C-Suite executives
• Proficiency in Microsoft Office Suites
• Ability to handle complaints professionally and efficiently
• Familiarity with file system management
• Ability to schedule meetings effectively
• Knowledge of Power BI for data analysis and visualization
• Ability to distribute incoming mail appropriately
• Experience in preparing and providing quotes
• Excellent keyboard skills for efficient task completion
