Job Title – Receptionist(1101717)
Location - Frisco, TX
HM Notes:
  • Answering 45 phone lines including main lines. They do not use VM’s, so receptionist has to take calls.
  • Help in break room, office room and any such requests.
  • Ordering suppliers when they are due
  • Conference room management
  • Accommodate guests as requested and set up conference rooms
  • Birthday activity - greeting & cards
  • Finance Team does not have an admin so may be required to work across vertical and assist on various requests and they may need to work on some reports as well.
  • Looking for candidates with 2-4 years of experience only
  • Experience in MS Suite is highly required
RESPONSIBILITIES:
  • Operate a multi-line switchboard to route incoming calls and place outgoing calls.
    • Answer executive phone line when executive assistant is unavailable. Log all missed calls and forward to executive assistant.
  • Complete a walk-through of the office to ensure tidiness and items in stock.
    • Keep break room fully stocked 3x/day. Load and unload dishwasher to keep the sink free of dishes at all times.
    • Refresh printer, and stapling, etc. supplies in Plan Room @ EOD
    • At the end of mtgs., clean conference rooms.
      • If anything on board, picture, and email to participants before cleaning
  • Shared Calendar Management
    • Update the Shared Calendar in Outlook. Note employees out of office and traveling and determine how to handle calls while they are out.
      • Using GRREP Development & Construction Calendar
      • Match formatting of out of offices
  • Manage all shipping and receiving
    • Sign for deliveries and handle accordingly
    • Log FedEx and UPS deliveries into spreadsheet – DO NOT OPEN
    • Retrieve mail daily and handle accordingly. All mail must be distributed daily
  • Greet all visitors, offer beverage, and direct to the appropriate party.
WEEKLY DUTIES:
  • Supply Reorder
    • Monday: Send out email for supply requests. Update log appropriately
    • Thursday: Submit order for supplies.
    • Follow up with approver for prompt processing, include request log
  • Break Room
    • Friday: Alert office of fridge clean out & clean out fridge EOD
    • Running log of Parks Coffee Supplies needed for monthly delivery
      • Copy approver on email requests
