Key Responsibilities:
HR Administrative Support
- Manage new hire onboarding and maintain accurate employee records using HR systems such as UKG, Spectrum, and Smartsheet.
- Assist employees with benefits enrollment, provide guidance on plan options, and work closely with carrier groups.
- Assist in preparing documents for legal responses and proceedings managed by the HR Generalist, including unemployment hearings, workers' compensation document requests, and audit inquiries, by gathering and organizing the necessary documentation and reports.
- Collaborate with AP/AR to process HR invoices, ensuring accuracy and timely payments.
- Support HR data gathering for reports, including headcounts, turnover rates, and compliance records.
- Provide administrative support across HR functions in corporate, safety, service, and field operations, including tasks such as coordinating drug screenings, submitting First Reports of Injury (FROIs), and maintaining contact with employees on medical leave.
- Organize company gifts for significant employee life events (births, marriages, condolences).
- Assist in scheduling and compiling feedback for performance reviews through the HRIS.
- Help maintain records for compliance with regulatory requirements.
- Provide support during peak HR periods such as open enrollment, onboarding, and special projects.
- Act as a resource for employee questions, helping clarify company policies and procedures.
- Partner with the HR Generalist to respond to employee inquiries, contributing to overall employee retention efforts.
- Ensure adherence to federal, state, and local employment laws, including FMLA, ADA, EEOC, and HIPAA.
- Uphold strict confidentiality and promote a culture of trust and integrity.
- Support other HR functions as needed to ensure the team's success.
- Work closely with the HR Generalist on special HR projects, including internal audits and document preparation.
- Use Microsoft Office tools (Excel, PowerPoint, Word) to manage and present HR data.
- Experience/Education: A combination of education and experience will be considered.
- Associate's degree in human resources, Business Administration, or a related field is a plus.
- Experience: 1-4 years in an HR administrative role.
- Knowledge: Familiarity with federal, state, and local employment laws such as FMLA, ADA, HIPAA.
- Technical Skills:
- Proficient in HRIS systems (UKG, Spectrum - Trimble).
- Intermediate/Advanced Microsoft Office skills (Excel, PowerPoint, Word).
- Soft Skills:
- Strong organizational and communication skills.
- Ability to maintain confidentiality and uphold trust within the organization.
- Bilingual (English/Spanish) is a plus but not required.
- Attitude: Eagerness to learn, adaptable, and comfortable in a fast-paced HR environment.
- Flexible to Travel: 5-10% travel between the East (Raleigh) and West (Charlotte) regions of North Carolina, as required.
