Job Description
Cox is hiring a Senior Executive Assistant who will report to the VP, Family Operations and provide administrative leadership and support to the VPs of Family Operations, Legal, Tax, Finance and Chief Administrative Officer.
The individual in this role will provide seamless execution of tasks and administrative support including extensive calendar management, meeting preparation, managing the leaders' daily schedule, and handling matters on behalf of the leaders as needed. Interactions and support will bridge across all functions of the Family Office and the Cox company.
The Sr. Executive Assistant must demonstrate a high level of integrity, professionalism, and confidentiality, handling sensitive information with tact, discretion, and judgment. A high degree of responsiveness and independent judgment is required to plan, prioritize, and organize in a fast-paced, rapidly changing environment. The Sr. Executive Assistant is the key to keeping the leaders focused on the business priorities by taking care of administrative details and tasks. This position involves a high level of visibility and interaction with senior leadership and a variety of other departments and business functions.

Primary Responsibilities and Essential Functions
- Manage calendars and provide full administrative support to the VP's as well as ad-hoc support to their direct reports
- Coordinate department, team and leadership meetings and special events (both onsite and offsite) to include securing meeting rooms/space, handling all catering needs, audio visual, agendas, set-up, speaker coordination and arranging transportation (if needed)
- Process incoming mail to the department daily for proper handling of confidential documents.
- Assist in the procurement process for the department (P-Card support, ordering supplies, lunch voucher management, etc.).
- Coordinate onboarding support for new employees and/or contractors including ordering supplies, liaison with facilities to prepare office space or technology teams to coordinate equipment setup.
- Arrange travel and all accommodations for leaders as required, including comprehensive and detailed itineraries
- Prepares expense reports, written communications, reports, spreadsheets, and presentations, which may require the gathering of data from internal and/or external sources
- Prepares presentations, reports, and other documents using word processing, spreadsheet, and presentation software packages. Ensure all documents, letters, briefings, and other materials are in final format, including but not limited to grammar, content, substance, and accuracy
- Partner with Lead Executive Assistant to maintain employee reference lists and department organizational charts and assist with dissemination of internal communications as needed
- Maintain and develop systems that organize and structure the work of the leader. Organize and maintain files/records on all matters, as appropriate while maintaining strict confidentiality
- Serve as a liaison between the executives' teams and other business units/departments
- Integrate into and work with other assistants in support of leadership team. Serve as a backup for Lead Executive Assistant, as necessary
- Coordinate special projects and perform other duties as assigned
Qualifications
- BA/BS degree required + 2 or more years of relevant work experience required in related field
- OR MS degree + up to 2 years' experience
- OR 6 years of experience with no degree
- Preferred 10+ years of experience supporting Senior Executive level
- Advanced knowledge/experience in Word, Excel, and PowerPoint
- Proficiency with digital devices and files and an aptitude to quickly learn new technologies a plus
- Exceptional organizational skills required; must be detail-oriented; have ability to prioritize and work independently
- Demonstrated ability and experience to act proactively and to effectively anticipate and respond to the needs of the executive
- Demonstrated experience maintaining confidentiality and discretion given the nature of the work
- Demonstrated success working in a high work volume, fast-paced and complex matrix environment
- Demonstrated ability and experience in building relationships, working collaboratively in a team environment; ability to build coalitions and alliances across the enterprise
- Experience with meeting planning and event logistics for large groups (30+ attendees) including virtual/remote meetings
- Critical thinker with strong eye for accuracy
- Excellent written and verbal communication skills; strong listening skills
- Excellent calendar management skills.
