Job Title: Accounting Assistant Job Description The Accounting Assistant provides a wide variety of support functions to the operations staff in the areas of administrative assistance, communications, and document control. This role includes tasks such as report generation, publishing, proofreading, editing, filing, and communicating. You will assist the Accounting Manager with payroll duties and maintain the reception area, answer phones, and keep the kitchen area organized. Additionally, you will maintain engineering registration records and renewals for the firm and management staff, set up projects, and maintain the Project Log. This position supports engineering operations by producing client correspondence, final report proofing, editing, and binding, as well as maintaining records and files. Responsibilities Assist Accounting Manager with payroll duties. Maintain the reception and kitchen areas. Maintain engineering registration records and renewals. Process and print billing reviews for T&M projects and status reports for FF projects, distributing them to Project Managers. Post and print sales invoices, making necessary adjustments and corrections as requested by Project Managers. Mail invoices to clients no later than the 5th business day of the month. Prepare monthly sales reports by Project Manager for management review. Prepare and maintain monthly holds and write-off reports for management review prior to closing each month. Enter all approved vendor invoices into Navision. Pay all approved vendor invoices through weekly check runs. Maintain client and vendor files, ensuring documents are filed timely. Update and maintain task instructions, keeping them readily available. Essential Skills Accounting Accounts payable Accounts receivable Reconciliation Bookkeeping Payroll Additional Skills & Qualifications Associate's degree in Accounting, Finance or related field. Excel knowledge (Pivot Tables, VLOOKUPs). SAP experience (preferred). Payroll knowledge (preferred). Bookkeeping knowledge (preferred). Work Environment The team consists of a small, passionate accounting and administrative team located in Minneapolis, MN. The team supports around 100 people in the US. This position offers hybrid flexibility, with the option to work from home on Mondays or Fridays. Employees are offered an $80 stipend to assist with parking expenses or coverage for a park & ride/bus pass.
