Job Posting: Patent Prosecution Legal Secretary

Adams & Martin Group is seeking an experienced Patent Prosecution Legal Secretary for a full-time role at a prestigious law firm in San Francisco. This position offers excellent benefits and requires strong administrative and document processing support for attorneys and paralegals.

Key Responsibilities:

  • Prepare and file patent application documents.
  • Draft Office Action shells and client reports.
  • Conduct patent research and obtain necessary documents.
  • Track patent application statuses and prepare complex Excel spreadsheets.
  • Manage client billing and coordinate invoicing processes.
  • Provide confidential administrative support and manage calendars.
  • Assist with correspondence and communication with clients and vendors.
  • Handle travel and expense reconciliation.

Qualifications:

  • High School Diploma required; some college or PLS Certification preferred.
  • Minimum of 5 years in a law firm or related environment.
  • Knowledge of legal terminology, electronic invoicing, and patent processes.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite and legal software.
  • Ability to multi-task and work independently as well as part of a team.
  • COVID-19 vaccination required, subject to accommodation.

Working Conditions:

  • Hybrid schedule: 3 days in-office, 2 days remote.
  • Full-time, standard 5-day workweek with potential for additional hours as needed.
