You'll welcome clients, direct phone calls and emails, sort and deliver mail, schedule meetings, maintain office supplies, and assist us with other operations as needed. Responsibilities
•First point of contact for new clients
•Managing leads and prospective clients to ensure a quality experience with our firm
•Responding to inquiries via email, online bookings, or phone calls
•Scheduling meetings for two attorneys and three paralegals
•Greeting clients and preparing for meetings
•Printing and organizing client documents for meetings
•Scanning and saving digital files to the appropriate location
•Ordering and handling office supplies
•Shredding sensitive documents
•Creating links and initiating virtual meetings
•Maintaining pleasant office environment
•Mailing confidential client or court documents
•Data entry, electronic and physical file management
•Other duties as requested
Qualifications
•High school graduate, G.E.D. recipient, or equivalent
•Possesses strong customer service skills, interpersonal skills, organizational skills, and time management skills
•Has previous experience with word processing programs and basic computer skills
•Well-versed in taking telephone calls and handling stressful situations
•At least one year of receptionist or administrative assistant, experience, or similar preferred
