Position Summary
An Intake Assistant is responsible for being the first point of contact to visitors, vendors, and clients, managing the flow of incoming calls, clients, and visitors.
Salary Range:
- $40,000 - $58,000, depending on experience.
Essential Duties and Responsibilities
The essential functions include, but are not limited to, the following:
- Answering, assisting, and directing all incoming telephone calls to appropriate parties in a professional and courteous manner
- Greeting incoming visitors, clients, and vendors in a professional and courteous manner
- Notifying personnel of incoming visitors
- Performing related clerical work including processing all outgoing mail
- Ensuring case management software (CMS) feed is cleared daily
- Ensuring emails are cleared daily
- Assisting the Intake Team as needed
- Ensuring the lobby is clean and maintaining a welcoming environment for visitors and clients
- Printing, scanning, and sending documents or paperwork as needed
- Keeping refreshments stocked for visitors and staff
- Performing other duties as assigned
Requirements
Required Qualifications (Knowledge, Skills, and Abilities)
- Bilingual in English and Spanish
- 6 months of office experience
- High school diploma or equivalent
- Excellent customer service skills, providing a friendly, welcoming face for all visitors to the Firm
- Ability to work well with others and be a team player
- Ability to maintain a fast pace under stressful circumstances and multi-task
- Excellent interpersonal, oral, and written communication skills
- Organized with attention to detail
- Proficient with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
- Committed to maintaining integrity and confidentiality on behalf of clients and the Firm
Preferred Qualifications (Knowledge, Skills, and Abilities)
- Minimum of one year of customer service experience
- Multi-line phone experience
- Authorized Nevada Notary
