Position Summary

An Intake Assistant is responsible for being the first point of contact to visitors, vendors, and clients, managing the flow of incoming calls, clients, and visitors.

Salary Range:
  • $40,000 - $58,000, depending on experience.


Essential Duties and Responsibilities

The essential functions include, but are not limited to, the following:
  • Answering, assisting, and directing all incoming telephone calls to appropriate parties in a professional and courteous manner
  • Greeting incoming visitors, clients, and vendors in a professional and courteous manner
  • Notifying personnel of incoming visitors
  • Performing related clerical work including processing all outgoing mail
  • Ensuring case management software (CMS) feed is cleared daily
  • Ensuring emails are cleared daily
  • Assisting the Intake Team as needed
  • Ensuring the lobby is clean and maintaining a welcoming environment for visitors and clients
  • Printing, scanning, and sending documents or paperwork as needed
  • Keeping refreshments stocked for visitors and staff
  • Performing other duties as assigned


Requirements

Required Qualifications (Knowledge, Skills, and Abilities)
  • Bilingual in English and Spanish
  • 6 months of office experience
  • High school diploma or equivalent
  • Excellent customer service skills, providing a friendly, welcoming face for all visitors to the Firm
  • Ability to work well with others and be a team player
  • Ability to maintain a fast pace under stressful circumstances and multi-task
  • Excellent interpersonal, oral, and written communication skills
  • Organized with attention to detail
  • Proficient with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
  • Committed to maintaining integrity and confidentiality on behalf of clients and the Firm

Preferred Qualifications (Knowledge, Skills, and Abilities)
  • Minimum of one year of customer service experience
  • Multi-line phone experience
  • Authorized Nevada Notary
