Title: Administrative Assistant to the Dean of Nursing Agency: Northern VA Community College Location: Fairfax County - 059 FLSA: Nonexempt Hiring Range: Commensurate with Experience (Up to $75,000 max) Full Time or Part Time: Full Time Additional Detail Job Description: General Description: This is a mid-level position that will serve as the Administrative Assistant and the first point of contact for Nursing Division Dean in administrative support functions within the Nursing Division. Duties and Tasks: Serves as first point of contact for Division Dean Administrative support functions within the Nursing Division Responsible for ensuring full administrative support in all administrative functional areas including budget control, procurement, travel, coordinate division communications and internal operational functions Provide administrative support requiring the application and interpretation of established policies and procedures Maintain Division budget and act as primary purchasing agent. Governing Division/Campus/College programs and services and other duties as assigned. Oversee work study assignments. Minimum Qualifications: Required KSAs: Ability to meet and follow up on suspense/deadline dates, i.e. Division Dean, working calendar and current college issues. Analyze problems to identify significant factors, gather pertinent data, recognize and implement solutions. Ability to study, perform analysis and evaluation leading to the development or improvement of managerial or administrative policies, practices and procedures. Ability to work independently and/or as part of a team. Ability to follow policies and procedures of the Nursing Division, NVCC and VCCS. Working knowledge of and familiarity with approval and accreditation agencies (Va Board of Nursing and ACEN). Ability to perform standard office administration functions, such as word processing, e-mail, use of VCCS/College and Nursing program specific databases (HRMS, Peoplesoft, eVA, AIS, NATs, eVA, ChromeRiver, CANVAS, etc.), calendar, Internet etc. Ability to use the VCCS PeopleSoft in support of Division Dean, Associate Dean, Nursing Coordinator/Counselor, faculty, staff and students. Ability to use the VCCS portals - PeopleSoft for entering grades, schedules, classes and student registration. Ability to plan and coordinate functions, i.e. meetings, events and special projects. Ability to work with and maintain confidential and sensitive material. Ability to maintain faculty and adjunct files within the division. Ability to maintain Administrative share drive and files therein. Ability to operate and maintain division office equipment i.e. copiers, fax machines, printers, computers. Organizational skills Leadership skills Minimum Qualifications: Experience in an administrative support/assistant role. Experience with Office Software: Proficient in MS Word; Excel; Power-Point Customer service experience Experience with budget and purchase management Records management experience Additional Considerations: Additional Considerations: Experience working in a community college/university setting is highly desirable. Experience with AIS, SIS, and/or other organization information systems competencies.
