Introduction: We are seeking a highly organized and detail-oriented Secretary to join our team. The Secretary will be responsible for providing administrative support to ensure efficient office operations. The ideal candidate will possess strong communication skills, multitasking abilities, and a professional attitude. The role requires a proactive individual who can manage a variety of tasks while maintaining a high level of confidentiality.

Key Responsibilities

Administrative Support:

  • Answer phone calls, take messages, and redirect inquiries to appropriate personnel.
  • Manage and maintain office filing systems, both electronic and physical.
  • Prepare and organize documents, reports, and correspondence.
  • Assist in scheduling and coordinating appointments, meetings, and events.
  • Handle incoming and outgoing mail and email communication.


Office Coordination:

  • Maintain office supplies inventory and reorder as needed.
  • Ensure the office environment is neat, organized, and conducive to productivity.
  • Coordinate travel arrangements for staff and executives.
  • Assist with basic bookkeeping, invoicing, and expense reporting.


Communication and Liaison:

  • Serve as the point of contact between the organization and clients or vendors.
  • Assist in preparing presentations and meeting materials.
  • Maintain effective communication between departments and external stakeholders.


Record Keeping:

  • Organize and maintain company records, contracts, and other important documents.
  • Ensure confidentiality and security of sensitive information.


Skills, Knowledge and Expertise
  • High school diploma or equivalent (Associate's or Bachelor's degree preferred).
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive and confidential information with discretion.
  • Professional demeanor and strong interpersonal skills.
