We are offering a short term contract employment opportunity for a dedicated Administrative Assistant in the Tax Consulting industry, based in Menomonee Falls, Wisconsin. Your role will involve interacting with clients, managing the front desk, facilitating communication, ensuring compliance, and providing administrative support.
Responsibilities:
• Ensure a positive and welcoming experience for clients and direct them to the appropriate tax professionals
• Handle incoming and outgoing mail and packages, ensuring compliance with confidentiality and privacy policies
• Assist in the preparation and distribution of tax-related documents
• Provide administrative assistance, including data entry and document management
• Schedule appointments for clients with tax professionals, managing and updating the appointment calendar for accuracy
• Communicate effectively with internal staff to relay important messages and updates
• Greet and welcome clients, visitors, and staff in a detail oriented and friendly manner
• Manage and direct incoming phone calls to the appropriate person or department
• Maintain a tidy and organized reception area
• Use your skills in administrative assistance, receptionist duties, data entry, switchboard management, and scheduling to ensure smooth operations.• Proficiency in Administrative Assistance tasks, including managing paperwork, organizing files, and handling correspondence.
• Familiarity with Receptionist Duties such as welcoming visitors, answering inquiries, and maintaining a clean and organized reception area.
• Strong skills in Data Entry with an emphasis on accuracy and speed.
• Experience in operating Switchboard - Phones 1 - 10 Lines, handling incoming calls, and transferring them to the appropriate departments.
• Proven ability in Scheduling, coordinating meetings, appointments, and managing calendars efficiently.
