SUMMARYThe Project Manager owns projects from start to finish and keeps the entire team headed in the right direction to deliver great work on time and on budget. The PM has a thorough understanding of the agency’s capabilities, processes, and resources, and is skilled at allocating resources to best flow work through the agency.RESPONSIBILITIES·Support the agency’s mission and vision of growing brands that help people thrive.·Maintain thorough knowledge of agency capabilities, services, and resources and how these all fit together to provide agency services to clients.·Lead numerous projects independently or with minimal oversight, ensuring compliance across all teams with agency’s project management standards, workflow, and processes.·Receive project/work requests from account management and new business, collecting the information needed to fully understand and develop a scope of work, project/campaign budgets, and pricing for agency services. Assist in preparation of input or kick-off documents, briefs, etc.·Open and set-up new projects and campaigns in the agency’s project management software, Monday.com and Workamajig, and on the server. Maintain organized and current files and folders on the agency’s shared servers.·Create and maintain project schedules in Monday.com and project estimates in Workamajig with appropriate allocation of resources and deadlines to accomplish the work on time and on budget. Update as things shift.·Communicate schedules and budgets to internal teams both initially and on an ongoing basis as things shift. Drive agency teams’ compliance with appropriate and timely task management. Drive the timely and appropriate routing and internal approval of work.·Work with account management to drive submittal of agency work/documents to clients for approval; receive client responses, feedback, and approvals; communicate to teams; save documentation; facilitate next steps.·Monitor project scope, budget-to-actuals, and schedules on an ongoing and proactive basis throughout the life of the project.·Proactively communicate to internal team when deadlines, scopes or budgets are at risk including recommendations for course-correction; Seek guidance or assistance as needed from senior project management staff.·Drive regular preparation of internal and client status report / documents and coordinate with account management for maintenance and accuracy of information.·Initiate and conduct internal and external meetings in a professional, efficient and effective manner; staying on-topic and ensuring objectives are met.·Work closely with media team to outline and identify specifications and deadlines for all media deliverables, communicating to creative and production team members to ensure accuracy and timely delivery of assets; work with media and production teams to traffic creative assets to media partners.·Manage schedules, budgets, invoices and deliverables of freelancers, contractors and other external partners.·Work cooperatively with all agency teams to deliver high-quality goods and services on time and on budget.·Conduct post-mortems: Analyze successes and failures of projects and process, document key learnings, schedule and lead meeting with core team to review. Provide any insights or recommendations to senior staff.·Work with VP, Project Management and VP, Executive Creative Director to assign creative team members to individual projects/campaigns and manage workloads of internal creative resources, collaborating with the rest of the PM team to identify and plan for upcoming projects, manage ongoing creative bandwidth, help respond to and coordinate last minute needs as they arise, etc.·Utilize Monday.com to provide ongoing dashboards and reporting in order to manage ongoing creative resourcing needs and creative bandwidth.·Check availability of freelancers as needed for assignments, negotiating rates, hours and flat fees (working with other PMs to establish budgets), and working with HR on appropriate freelance agreements/paperwork.·Build and maintain a professional and productive relationship with all internal teams. Provide the highest level of service to be a valued, knowledgeable, reliable, and trusted resource to internal teams.·Build and maintain a professional and productive relationship with client contacts. Provide the highest level of services to be a valued, knowledgeable, reliable, and trusted resource to clients.·Be involved in industry organizations and pursue educational opportunities.·Always go above and beyond expectations.·Daily entry of accurate timesheets into the agency’s management software.REQUIREMENTS·Minimum of 3 years of relevant experience managing projects, budgets, and resources within an agency·BA/BS in relevant field preferred but may be substituted with relevant work experience·Must have outstanding interpersonal, communication and organizational skills·Must be energetic and confident; must have a strong work ethic and a ‘can do’ attitude·Experience with Monday.com, Workamajig or similar project management software a plus
