Position Overview:
SCOPE OF ROLE :The Administrative Assistant will be the first point of contact/face/front line of our program. In addition to clerical duties you will be called upon to engage and assist with program participants/individuals we serve. As a member of S:US you are committed to acting with integrity, as demonstrated by treating people consistently, honestly and fairly to help them achieve their own goals and the goals of the agency.ESSENTIAL DUTIES & RESPONSIBILITIES:Perform general clerical duties including but not limited to photocopying, faxing, mailing, filing and arranging for deliveriesExercise discretion in handling sensitive information as required by HIPPA and Agency guidelinesHandle all internal and external communications using phone, email, and written.Handle phone system with multiple linesCoordinate with internal and external stakeholders including staff, clients, visitors, and vendorsArrange, schedule and coordinate office calendarPrepare and edit communications, presentations and other documentsDatabase management including but not limited to data entry into Excel and Electronic Health Records (EHR) systemsFile and retrieve documents and reference materialsProvides timely, accurate and clear documentation according to established policies and proceduresHandles completing demands by responding effectively to challenges, deadlines, and emergenciesResponds to consumer needs promptly, accurately and with courtesy and respectRepresents the organization in a positive and appropriate manner to outside resourcesSupports the mission and values of SUS and draws attention to behavior that undermines group effectiveness or is inconsistent with core valuesAdditional duties as assigned
Qualifications:REQUIREMENTSREQUIRED EDUCATION AND EXPERIENCEHSD or equivalent requiredA minimum of one-year experience in an administrative settingSome knowledge/experience working in the social service or related field is preferredComputer literate in Microsoft suite, skill sets in Word, Excel, and Outlook
PREFERRED QUALIFICATIONS & SKILLSCollege or continuing education preferredBilingual English/Spanish speaking preferred
