Position SnapshotAs Accounting Manager, you are responsible for the company’s general ledger, closing books, production of monthly financial statements, cash reporting and billing as well as all oversight and processing of transactional functions such as accounts payable and accounts receivable. You are responsible for annual business insurance renewals, timely filing of city taxes and business licensing, and supplying the CPA with information necessary to complete timely annual corporate tax filings. You ensure the quality of information in the enterprise management system to support the firm in maintaining our contractual relationships with vendors and strategic partners and preserve order in all of our supporting documentation. You have an aptitude for technology and accounting systems, and the ability to organize and collaborate well with others.

Minimum Education and Experience You NeedEducation : Bachelor’s Degree in Accounting, Finance or a related field is required.Experience : Minimum of 6 years experience in a lead accounting or finance role, experience in financial management is preferred. You demonstrate initiative, are conscientious and provide complete follow-through on areas of responsibility. You are responsible for the training of other administrative staff to assist you with AP entry, AR/collections and retainer billing. You have excellent customer service skills, in person, on the phone and in writing and adapt to all communication styles with ease.

Essential Duties and Responsibilities for this RoleVendor/Supplier and Client Support :Audit expense reports for accuracy and adherence to spending guidelines.Facilitate new client and project setup and maintenance in the firm’s accounting system, ensuring that each setup has supporting documentation including an executed contract/change order(s) and that the terms in the system agree with that in the contract.Support the Purchase Order process to coordinate the information flow from our client teams to Accounts Payable.Support the billing process by proofing all client invoices for accuracy, coordinating the production of invoices for mailing, and looking for ways to improve the processing cycle to shorten the days required to produce client invoices.

Accounts Payable/Receivable :

Track and report cash position daily.Reconcile all bank accounts for the firm.Maintain the firm’s general ledger.Manage year-end 1099 preparation.Manage and organize itemized invoices.Follow up or coordinate follow up weekly with unpaid client invoices by building relationships with our clients’ accounts payable departments to contribute to the timely collection of our billed time and expenses.Proactively communicate and follow-up with team leaders when client accounts are past-due.Keep all necessary filing systems neat and organized, and support our eco-friendly, ‘paper-free’ office initiative.

Client Accounting Support :

Manage and foster the company’s relationship with its outside accounting firm, including coordination of annual tax preparation and the review/audit of financial statements.Timely filing of federal, state and local taxes and licenses.Timely production of monthly financial statements and other financial reports as requested by management.Provide consistent compliance with generally accepted accounting principles, as well as company policies and procedures.Accommodate other accounting and admin related projects as requested by management and follow through to completion.
