JOB DEFINITION:Integral member of agency administration team providing strong Executive Assistant services both at executive and administrative level.

EDUCATION REQUIRED:High school diploma or equivalent. Associates Degree preferred. NYS Driver's License required.

EXPERIENCE REQUIRED:Strong Executive Assistant skills - Strong IT skills - proficiency in Microsoft Office Suite applications including, but not limited to, Word, Excel and Outlook. Provides administrative support to ensure efficient office operations. Significant experience at the senior management level and ability to multi-task.

DUTIES AND RESPONSIBILITIES:

Provides administrative support to ensure efficient office operations.

Drafts and edits email, letters, reports, and other documents.

Prepares meeting agendas, resolutions, and meeting notes.

Assist with agency wide audits, form preparation and other required reports.

Prepare monthly/quarterly/semi-annual/annual reports for contracts/grants as well as other reports as needed.

Works closely with other administrative staff and supports other colleagues as needed.

Maintains and organizes executive office electronic files.

Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.

Ensures that deadlines are met and adapts to changing priorities.

Expedites administrative functions of executive office by assisting with projects including, but not limited to, monthly financial reports, and quarterly reports.

Creates spreadsheets utilizing Microsoft Excel - including formulas, pivot tables, charts.

Creates and builds Forms in Microsoft Word utilizing Form Fields.

Expedites administrative functions of executive office by assisting with projects including, but not limited to, grant management, new program implementation, execution of funding contracts, producing reports.

Assists with organization of and preparation for meetings and/or events, reproduces and disseminates materials as directed.

Maintains databases for personnel contact information. Able to execute emergency notification procedures from home for Agency closures with CEO.

Maintains executive office files, travel logs, expense reports, email and calendar. Ensures CFO schedule and calendar ensuring its coordination with outside stakeholders and CEO's office for mutual meetings.

Performs off site errands using own vehicle.

Presents a positive and professional image for the organization.

Works with the entire CN Guidance team to apply the Plan-Do-Study-ACT continuous quality improvement approach to address systemic, organizational challenges.

Complete QI Training during onboarding and participate in QI refresher training as needed.

Identify and implement quality improvement trainings and activities as part of professional development goals.

Encourage quality improvement processes and provide consistent resources for QI and professional development.

Ability to cultivate a culture of inclusion for all employees that respects their individual strengths, views and experiences.

Performs other duties assigned.
