position,grade A17, in the Health/Environmental/Disease Control division.

About the Position:This is a highly responsible and advanced secretarial position designed to relieve the Program Chief, Infectious Disease Control, of administrative detail. The incumbent is required to have a good working knowledge of the programs under the chief's control for the solution of procedural and management problems. Work is performed independently with oversight of the program chief.

The PGCHD works to protect and support the public's health through numerous services that range from restaurant inspections and disease tracking to care coordination and health promotion. The department is composed of four divisions: Behavioral Health Services, Environmental Health and Disease Control, Family Health Services, and Health and Wellness, supported by the Office of Administration, Office of Human Resources and the Office of the Health Officer. The mandate of the department has been, and will remain, broad. This plan emphasizes improving core functions and operations, including protecting the public from health threats, implementing strategies to support healthy living, and maintaining a focus on vulnerable populations, while developing efficient internal processes to support these activities.Examples of Work

Composes, or transcribes (from machine or rough draft), formats, types, and proofreads correspondence, memorandums and reports involving technical or medical terminology utilizing appropriate computer and software equipment for the review and signature of the Program Chief. Some of the materials typed include highly sensitive and confidential information.Receives screens and prioritizes telephone calls regarding program matters.Evaluates citizens' inquiries to determine the proper source of resolution and refers the citizen to that source.Take messages and ensure that Program Chief are kept apprised of urgent matters.Completes requests for the signature of the Program Chief. This includes work orders, purchase orders, travel requests, etc.Initiates and send reservation form for utilizing Conference Rooms in various facilities for meetings.Schedules and arranges a variety of meetings, including coordination of persons attending, location, date, and time.Prepares paperwork for the completion of PPAs for Program. Receives, organizes, prioritizes, and distributes incoming correspondence to Program Chief and staff.Ensures maintenance of appropriate files and systems for administrative documents and assures ready access to information and materials.Serves on committees and/or work groups with supervisory approval.Ensures timesheet management is performed and submitted within the established timeframe.With Program Chief, develops and modifies office procedures to ensure efficient and effective.Assists chief and Supervisor of EPI activities with data management for Communicable Diseases.Assist with data and file management for the Rabies program. Send paperwork for Pet shop inspections and follows up on permits.Coordinates ordering materials, supplies, furniture, and equipment using charge card from outside vendors and county contract vendors.Order materials via FPO, PP and BPO when the dollars amount exceeds charge card limits and/or the required vendor does not accept charge card.Ensures administrative functioning within the office.Performs a variety of related duties and responsibilities within the scope of duties.Qualifications

Must have experience in the Administrative Aide II level equal to the length of the probationary period;

ORAssociates degree in Business Administration or Secretarial ScienceOne (1) year of secretarial/administrative experience which involved working with the public, office management and operational details.Applicant must be proficient in typing.An equivalent combination of relevant training, education and experience may be considered.

Preferred Qualifications:

Work experience in a public Health setting, involving highly paced confidential and sensitive information needing priority management.Thorough knowledge of office practices, procedures, systems and equipment.Ability to communicate effectively both orally and in writing.Ability to use excellent customer service in performing office duties and to maintain confidentiality when necessary.Ability to conduct research and assist the program chief in projects.Ability to perform advanced administrative duties that may include taking reports and notes.Ability to establish and maintain accurate files.Ability to supervise and lead a team

General Plan Information:

The Prince George's County benefits plan year is from January 1 to December 31.

A spouse (to include a same sex spouse) can be added to the health benefit plans. A marriage certificate and social security number is required to add a spouse.

Children under the age of 26 are eligible for coverage under the health benefit plans. This includes stepchildren and children of the same-sex spouse. A birth certificate(s) and social security number(s) is required to add a child(ren). If you are only adding the stepchildren or child(ren) of a same-sex spouse, you will need to submit a marriage certificate. You will also need to submit the birth certificate of the child(ren) and your spouse must be listed as a parent.

The premiums for health benefits are deducted on a pre-tax basis with the exception of Long-Term Disability, Extra Life Insurance and Voluntary Benefits (Short-Term Disability, Whole Life Insurance, Critical Illness, Accident Insurance, Cancer Indemnity, Hospital Indemnity Protection, Accident Indemnity Plan, Supplemental Dental and Group Legal Services).

New employees must enroll in the County's health benefit plans within thirty (30) days of the hire date.

The effective date of the health benefits coverage is the

beginning of the month following a waiting period of forty-five (45) days from the date of hire.

After enrolling in the County's benefit plans, employees may only make changes to the plans either during the open enrollment period, which occurs annually (usually each October), and/or during the year, due to a family status change (i.e., marriage, births, divorce and adoption).
