We’re seeking a highly organized and proactive Executive Assistant to support Jake Garay and our rapidly growing real estate team. This role is essential for maintaining smooth operations and supporting our team’s success. You’ll be responsible for managing client communications, scheduling, marketing, and ensuring our CRM and records are meticulously maintained. You’ll also assist with onboarding new agents, planning events, and continuously improving our workflows. Client & Lead Communication : Manage all client communications, including emails, follow-ups, and client appreciation efforts, ensuring top-notch client relations.Scheduling & Coordination : Handle scheduling for showings, meetings, marketing shoots, and events, keeping the team organized and on track.Database & CRM Management : Oversee data entry, updates, and management of CRM and other platforms to ensure accuracy and efficiency.Marketing & Listing Management : Input and update property listings, manage media and online profiles and handle client reviews to maintain our marketing presence.Digital & Physical Record Management : Organize and maintain digital and physical records, ensuring all client and transaction files are up-to-date and easily accessible.Event Planning & Coordination : Collaborate with team members to plan, schedule, and manage events, both client-facing and internal.New Agent Onboarding : Assist with the onboarding process for new agents, helping them integrate smoothly and efficiently into the team.Standard Operating Procedures & Workflow Optimization : Document standard operating procedures and continuously seek ways to improve processes for increased efficiency and productivity.Qualifications:

Prior experience in real estate is a bonus.Excellent communication and organizational skills.Used to handling private information and meeting hard deadlines.2-3 years experience as an executive assistant or administrative assistant.High school diploma or G.E.D. required.Accustomed to navigating computer software such as Microsoft Office and MLS.Strong interpersonal and time management skills.Prior experience in real estate is a plus but not required.Having a real estate license is a plus but not required.2-3 years of experience providing administrative support in a similar role.Ability to handle confidential information with discretion and meet tight deadlines.Strong familiarity with computer software such as CRM's, MLS, Google Drive, and others.Compensation:

$40,000 - $45,000 yearly
