The Maryland Food Bank (MFB)

is a nonprofit hunger-relief organization dedicated to feeding people, strengthening communities, and ending hunger for more Marylanders by partnering with local organizations from the western mountains to the Eastern Shore. The food bank’s statewide network of food assistance brings enough resources together to provide nearly 114,000 meals every day (more than 41 million meals annually) to hungry children, seniors, veterans, and hard-working families, meeting the immediate needs of hungry Marylanders while simultaneously working to create pathways out of hunger.

Overview

The Executive Assistant will report to our Chief Financial Officer (CFO) and provide administrative support to multiple members of the Executive Team. This role involves coordinating tasks across departments (30% Finance, 30% Philanthropy, 25% Human Resources, 15% Other), and handling sensitive information and contacts. Requires discretion, judgment, and diplomacy.

Primary Responsibilities

Active role in scheduling external meetings with high-level external partners and fundersPrepare materials and coordinate logistics for internal and external meetingsAssist with communicating directly to external funders on behalf of the Chief Philanthropy Officer (CPO)Assists in managing the CFO's calendar, processing of invoices, email, and filing systemsResponsible for designing a centralized ordering process for office supply procurementAssist with tracking and processing HR vendor invoicesCoordinate mailing out compliance documents and other correspondenceBooking meeting rooms for various events like webinars, wellness sessions, benefits meetingsAssist in scheduling candidate interviews and other HR related tasksProvide backup coverage to the front desk which may include accepting monetary and food donations from various sourcesReceiving, sorting, and distributing incoming mail and packagesInputting donation and payment information into spreadsheetsEducationHigh School Diploma OR relevant work experienceBasic Qualifications3-5 years’ experience as an Administrative or Executive Assistant.Proficient in Microsoft Office (Outlook, Teams, Excel, Word, PowerPoint) and ZoomAbility to build and effectively manage internal and external relationshipsAbility to maintain confidentiality and use discretion in daily workCommitment to fulfilling the Maryland Food Bank mission and positively representing the organization both internally and externallySignificant support experience, including supporting multiple C-level executives concurrentlyPreferred QualificationsAssociate degree in Business or related fieldExperience working in non-profit or human services spaceSkilled at anticipating and planning for various needs to ensure group effectiveness.Project Management experienceAction-oriented, self-motivated, with the ability to act with urgency and be accountable for actionsDemonstrated problem-solving, time management, and organizational skillsNothing matters more to the Maryland Food Bank than our strong ethical and safety commitments.
