Job Details:

We are seeking a dynamic and adaptable Executive Assistant to support our CEO in our fast-paced finance firm. This is a permanent position that requires a minimum of 5 years of experience in a similar role. The ideal candidate will be a self-starter with a strong ability to multitask and prioritize, with a keen eye for detail and a passion for supporting high-level executives. This is an exciting opportunity to join a thriving company and play a pivotal role in its operations.

Responsibilities:

  • Provide comprehensive support to the CEO, managing an extremely active calendar of appointments, meetings, and travel plans.
  • Prioritize and manage multiple projects simultaneously, following through on issues in a timely manner.
  • Develop and maintain a system that ensures the CEO's accessibility and open lines of communication with staff.
  • Prepare and edit correspondence, reports, and presentations.
  • Coordinate logistics for board meetings, including materials, agendas, communication, and follow-up.
  • Act as the primary point of contact for internal and external constituencies on matters pertaining to the CEO.
  • Implement and monitor programs as directed by the CEO, and see those programs through to completion.
  • Handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.

Qualifications:

  • Minimum of 5 years of experience as an Executive Assistant reporting directly to CEO or owner.
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Expert level written and verbal communication skills.
  • Highly resourceful team player, with the ability to also be extremely effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
  • Bachelor's degree preferred.
