POSITION OVERVIEW:

Under general direction of the Plant Manager, the Administrative Assistant at McFONA will perform high-level administrative and business support of a complex and confidential nature for the Plant Manager, GLC, and site Senior Leaders.

RESPONSIBILITIES

Coordinate internal employee events to include picnic, charity day, intern events, internal celebrations for the siteDistribute and coordinate monthly events calendar and coordinate employee meetings and supply chain employee meetings and events to include scheduling, meal coordination, creating and distributing presentation materialsAssist in training administrative responsibilities to include setup of employees in the system and assigning roles.Support internal Plant visits and meetings (Site masterplan visits, or other supply chain visitors)GLC- Support the GLC through calendar administration, presentations, notes, and coordinationPositively represent McCormick and McFONA in greeting or receiving visitors and provide information regarding business matters as appropriate.Ensure accuracy of own work and accuracy of work prepared by others for submission to high levels of the organization for senior leaders.Manage site badging processes to ensure employees, visitors, customers, and auditors are given correct accesses to site facilities.Distribute and ship mail and packages to respective parties and manage office supplies for office spaces and mailroom.Ensure high level of service for visitors to include managing visitors schedule, coordinating travel and meeting room spaces, and managing catering services for highlevel visits.Manage the LandsEnd logo wear with finance department and coordinate laundry and dry-cleaning vendors.Apply high level of PC application skills, including word processing, development of spreadsheets and databases, and presentation of materials.Exercise judgment with respect to urgency, confidential information, and potential problems.Maintain and update weekly, monthly, and annual system data and reports.Manage plant tour requests, office supply management, bulletin board and file maintenance, employee communications, and community service events.REQUIRED QUALIFICATIONS:

High school diploma or equivalentProficiency in SpanishMinimum 3 years' experience in an administrative and/or business support roleProficiency with Microsoft Word, PowerPoint, and ExcelExperience preparing spreadsheets, charts, and graphsExperience creating presentationsAptitude for learning new job-specific computer systemsExcellent written and verbal communication skillsAbility to multi-task, prioritize competing work demands, plan and organize work to meet scheduled deadlinesWell-developed organizational skills, including paper and electronic filing systemsStrong customer focus with an approachable and helpful demeanorExperience being proactive and timely in responding to requestsExcellent attention to detail and high degree of accuracy in all workAbility to exercise discretion and manage confidential material and information.Professional, positive, service-oriented behavior in all interactionsAbility to anticipate and initiate cyclical activitiesProven complex problem-solving and independent judgment abilitiesAbility to complete projects with limited supervisionPREFERRED QUALIFICATIONS:

College coursework or specialized trainingProficiency with an ERP system, ideally SAPProficiency with an email software system such as Lotus Notes, Outlook or related
