Summary: This role is a key member of the HR team. The HR Support Specialist will be the first point of contact for the organization and a primary point of contact for all UA employees. This position will provide essential support to the HR team and other departments across the business as needed. This role will require a keen ability to maintain confidentiality, prioritize effectively, and deliver exceptional customer service to both internal and external stakeholders.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Greet and assist all UA visitors in a professional and friendly manner.
- Manage incoming calls and determine purpose and direction for forwarding and take messages as needed.
- Maintain a clean and welcoming reception area and administer the on-site visitor procedures (safety, confidentiality, etc.).
- Provide administrative support to the HR team and other departments as required.
- Respond to internal inquiries in a timely manner and provide guidance on office policies and procedures.
- Maintain and update various HR systems as directed.
- Provide daily support with tracking and recording attendance absences and communicating with appropriate parties.
- Assist with coordination of company meetings and events which includes but is not limited to preparing correspondence, ordering meals, posting various organizational announcements, scheduling, and arranging travel.
- Assist with onboarding processes for new employees.
- This position operates in an office setting and may require occasional overtime or flexibility in hours to accommodate special events or deadlines.
- Other duties as assigned.
QUALIFICATIONS:
- High School Diploma or equivalent required, completion of some college coursework preferred.
- 2 years of relevant experience preferred.
- Must be able to maintain confidentiality and handle sensitive information with discretion.
- Strong team player with a positive attitude and willingness to help others.
- Detail oriented, with exceptional organizational skills.
- Excellent communication skills, both written and verbal, are required.
- Experience with Microsoft Office, including Outlook, Excel, Word, and PowerPoint.
