We're searching for a diligent office assistant to provide administrative support for our fast-growing company. You'll be responsible for keeping our building, and our people, running as a well-oiled machine.
As an Office Assistant, you'll play a vital role in the day-to-day management of our business operations and systems. Working in a dynamic, fast-paced environment, you'll ensure our team runs smoothly by handling administrative and HR responsibilities, maintaining systems, and keeping everything organized.
This is a highly varied role for someone who takes initiative, thrives on multitasking, and ensures every task is done right.
Responsibilities
•Manage administrative and HR tasks for our growing team.
•Greet, assist, and refer visitors, clients, and staff.
•Answer phones.
•Process incoming and outgoing mail.
•Order and maintain inventory of office supplies, snacks, and beverages.
•Create and maintain files, databases, and documentation.
•Coordinate with vendors and service providers.
•Manage the company calendar.
•Prepare documents and reports, compile records, and organize files.
•Work with the team to recruit, onboard, and retain top talent.
•Implement, improve, and monitor office policies and procedures.
•Introduce and maintain new office programs.
•Track and manage software subscriptions.
•Handle various other operational tasks as needed.
Qualifications
•Strong organizational and multitasking abilities.
•Professional demeanor and excellent communication skills (written and verbal).
•A collaborative, team-oriented mindset.
•Problem-solving skills with a focus on viewing challenges as opportunities.
•High school diploma or GED required, some college experience preferred
•Proven track record of completing projects on time in an orderly manner
•Display excellent written, problem-solving, and verbal communication skills
•Technologically savvy; basic knowledge of Microsoft Office Word and Excel programs and filing systems with the ability to learn new programs quickly and troubleshoot common issues
•Prior experience in office management or our industry is a plus
